East End Community Health Centre is a non-profit, multi-service Centre providing health, social and community outreach services. We provide primary care, health promotion and disease prevention services to southeast Toronto. A unique aspect of our mandate is to serve people who may have difficulty accessing health care due to factors such as language, culture, poverty or the lack of health insurance.
As a member of an interdisciplinary team, the administrative assistant provides secretarial and administrative support to all staff at the Centre.
The Administration Assistant works in partnership with other staff and management to support the Vision, Mission, and Values of the Centre.
The Administration Assistant participates in the accreditation process (as needed), quality improvement initiatives, execution of strategic plans, and implementation of organizational accountability systems.
**RESPONSIBILITIES**
- Provide mail-out services, type, format, photocopy, print and collate Centre documents
- Coordinate events for Centre including food, equipment, room set-up and bookings
- Record, type, and maintain agendas and minutes of Centre meetings
- Create PowerPoint presentations, charts/graphs, brochures, flyers and group program calendar
- Facilitates internal and external communication, including social media and advertisement of groups
- Maintain Centre bulletin boards and digital sign
- Perform data entry and extract results for surveys and audits
- Flag upcoming appointments for relevant procedures and/or forms
- Provide back-up computer and software support to staff
- Assist with Annual General Meeting (AGM) preparations
- Organize and maintain common work and storage areas
- Provide support with distributing furniture keys and office keys
- Assist with the coordination of group programs, registering new clients, gathering personal and Health Equity information
- Other duties as may be assigned from time to time
**QUALIFICATIONS**
- University degree or college diploma in a related field or a combination of education, training and experience deemed equivalent.
- Two to five years office experience
- Strong written and verbal communication skills
- Ability to take initiative and manage multiple priorities
- Excellent interpersonal skills, decision-making, problem-solving, conflict management and time management skills
- Demonstrated ability to work effectively in a fast-paced interdisciplinary team environment
- Ability to work collaboratively and effectively with a wide range of people and stakeholders
- A second language, relevant to catchment area populations, is an asset.
- Demonstrated commitment to equity, diversity, inclusion and anti-racism with a willingness to engage in ongoing learning to increase self-awareness, improve practices and eliminate disparities in health status.
- Must be vaccinated against COVID-19
