Service Contract Specialist

Our company is looking for a talented Service Contract Specialist to join our dynamic operations team. You will perform a range of duties including contract management for both of our US and Canada companies. You will also provide support to the Operations Administration Manager. **Essential Responsibilities**
- Contract management in a central repository
- Maintain contractual commitments in our field service management system
- Ensure contractual obligations are being met
- Prepare and maintain monthly contractual service invoices, including new agreements
- Automate contract administration processes
- Assist in contract preparation between the company and potential customers, ensure completion
- Handle contract cancellations/terminations
- Identify breach of contracts in a timely manner and escalate accordingly
- Research regulations to guarantee contracts are updated and in compliance with laws
- Coordinate with clients to guarantee terms of contracts are fulfilled in compliance with the contract terms and regulations
- Ensure both paper and electronic records are kept and orderly
- Assist in RFP response process
- Work closely with the accounting department to ensure accuracy of revenue for financial reporting

**Qualifications**
- College degree preferred
- Minimum of 3 years’ experience with service agreements and service management systems
- Fluency in English and French

**Other Competencies**
- Self-starter, able to work independently
- Excellent oral and written communication skills
- In-depth knowledge of contract agreements and legal terminology
- Excellent negotiation and interpersonal skills
- Ability to resolve customer complaints and concerns
- Must be able to work from complex and detailed documentation and/or verbal and written instructions depending on situation
- Strong computer skills. Comfortable with Microsoft office and cloud-based computing programs
- Must be reliable, have good initiative, committed, and quality focused
- Ability to establish and maintain cooperative working relationships with those contacted in the course of work, including the public
- Ability to effectively handle multiple priorities, organize workload, and meet tight deadlines
- Ability to work in a team-based environment and achieve common goals
- Demonstrate excellent attention to detail
- The ability to act responsibly and ethically when working with sensitive information, whether its information for the company or for individuals
- Enjoys working with customer and company personnel
- Enjoys working on process improvements, automation, and efficiency improvements
- Ability to understand and modify contracts

**Physical Demands**
- Must be able to remain in a stationary position 80% of shift
- Frequently, will move about inside the office to access files, office machinery, etc.
- Must be able to view documents, spreadsheets, etc.
- Must be able to lift and move any files weighting up to 5 kg
- Constantly works in indoor office environment

**Mental Demands**
- Must be able to prioritize workload
- Must be able to pay attention to detail
- Must be able to multitask with various ongoing projects
- Must be able to identify mistakes on documents, spreadsheets, etc.
