We are looking for a detail-oriented and organized individual to fill the role of Tow Truck Dispatcher/Administrative Assistant. This position plays a crucial role in coordinating towing operations and providing administrative support to ensure the smooth functioning of our daily activities.

Key Responsibilities:

- Schedule and dispatch drivers efficiently, coordinating their routes and assignments ensuring timely response to service requests.
- Relay work orders, messages, and information to or from drivers, supervisors, inspectors using telephones or two-way radios.
- Prepare daily Route for Drivers, Receive or prepare work orders.
- Monitor personnel and/or equipment locations and utilization in order to coordinate service and schedules.
- Supervise drivers in local and remote areas, ensuring they are adequately trained and equipped for fieldwork.
- Responsible for contacting drivers/tow operators and ensuring prompt response to requests.
- Utilizes dispatch software effectively and excels in multitasking within a fast-paced environment.
- Coordinates efficiently with vendors and insurance companies, fostering strong relationships with account representatives.
- Possesses knowledge of towing services or emergency service operations, ideally with prior experience in a trucking company.
- Basic knowledge of maintenance activities to ensure vehicles are in optimal condition.
- Reports directly to the operations manager, providing insights on maintenance activities and operational efficiency.
- Identify opportunities to cut costs and improve efficiency within the operations.
- Hire and train drivers, working closely with the driver foreman to initiate and complete training programs.
- Ensure drivers are sufficiently prepared for field operations and adhere to safety protocols.
- Must be organised and detail oriented.
- Handles billing and invoices efficiently, maintaining accuracy and timeliness.
- Prepare reports on towing activities.
- Record and maintain files and records of customer requests, work or services performed, charges, expenses, inventory, and other dispatch information.
- Determine types or amounts of equipment, vehicles, materials, or personnel required according to work orders or specifications.
- Advise drivers about traffic problems such as construction areas, accidents, congestion, weather conditions, and other hazards.
- Proficient in phone communication and skilled in cold calling for generating new business during low season.
- Demonstrated proficiency in conducting face-to-face interactions with new prospects to establish new business relationships, as well as fostering connections with existing business associates during meetings.
- Responsibilities entail tasks such as performing truck repairs, meticulously tracking and maintaining records of all tow truck units, and promptly responding to requests as needed.
- Must be personable and have good people skills.
- This position plays a crucial role in managing administrative tasks, coordinating with dispatch operators, and overseeing the overall efficiency of our tow truck service.
- Works on multiple locations.
- Exhibits the ability to remain calm and composed in stressful situations.
- Demonstrates flexibility to work holidays as required.

Qualifications:

- High school diploma or equivalent; additional education or training in business administration or related field is preferred.
- Previous experience in dispatching, customer service, or administrative support roles is highly desirable.
- Proficiency in using computerized dispatch systems, office software (e.g., Microsoft Office Suite), and basic knowledge of accounting principles.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with diverse stakeholders.
- Strong organizational skills and attention to detail to manage multiple tasks efficiently in a fast-paced environment.
- Ability to remain calm under pressure and make quick decisions to resolve issues effectively.
- Flexibility to work shifts, including evenings, weekends, and holidays, as needed.
