**SUMMARY OF THE POSITION**

Reporting to the Property Manager, the Property Administrator will provide administrative support and assistance to the Property Team. The Property Administrator will be responsible for meeting all contractual obligations and deliverables as well as achieving or exceeding the company’s and client’s key performance indicator targets. The incumbent will utilize evaluation methods with a focus on data, process, tools and impact of housing projects with participants and the community.

The Property Administrator will:

- Provide administrative support for all property-related financial processes including, but not limited to,
- Coding contract invoices as per approved budge and GL codes
- Processing credit card statements, lease agreements and renewals, and arrears communications and collections
- Prepare Notice of Defaults, Bailiff Letters, and Residential eviction notices
- Schedule maintenance workers, repairs, and meeting bookings
- Monitor team calendars to ensure tasks are prioritized and approached efficiently
- Distribute communication to tenants as instructed by the Property Manager
- Communicate with tenants as required
- Organize property management files on the server to ensure items can be found accordingly
- Scanning and processing documents as needed
- Assist in providing information reports for department members and senior management
- Develop an understanding of the barriers to accessing and maintaining housing for those with mental health and substance use challenges
- Work in compliance with all applicable health and safety and privacy legislation, as well as established policies and procedures
- Other assignments within the scope, spirit, and purpose of the job as reasonably requested from time to time by management

**HOURS OF WORK**

The Property Administrator will work a thirty-five (35) hour week, the hours being flexible to the needs of the team.

**ESSENTIAL QUALIFICATIONS**
- Minimum 3 years of Property Administration experience, preferably for a non-profit agency
- Exceptional written and oral communication skills
- Excellent organizational skills with a strong ability to multi-task
- Strong command of MS Office products: Outlook, Word, Excel, PowerPoint
- Excellent problem-solving capabilities
- Superior attention to detail and accuracy and excellent follow-up skills
- Any additional education and/or certification in property management / maintenance will be considered an asset
