Parish Secretary

Holy Rosary Parish in Guelph, is looking for a Full-time Secretary to look after the efficient running of the front office. The work schedule is Monday to Friday 8:30 AM - 12 Pm & 1 Pm -4:30 PM. Reporting to the Parish Priest this position is responsible for providing a full range of secretarial and related office services for the pastoral team, members of the parish, and/or various other parish committees. Being the initial window to the parish as a whole, it is crucial that the Parish Secretary have a welcoming and cheerful disposition and handle all visitor and telephone requests politely and professionally.

Primary responsibilities
- Perform secretarial duties for the pastor, pastoral teams, and committees.
- Address walk-in visitors, handle phone calls, messages, and direct inquiries to appropriate individuals and staff in a friendly and professional manner.
- Prepare and produce the weekly Parish Bulletin Board, gather and edit content and layout of the bulletin and complete the bulletin in time for final printing.
- Recording Mass intentions, Sacramental registration information, and issuing Sacramental certificates (Baptism, Confirmation, Marriage, and Funerals).
- Attentive to Sacramental Schedule and messages for Parish Priest, and Business Administrator.
- Maintaining and updating the Parish calendar of events including school masses - reserving room for committees giving information and direction to those seeking information.
- Ability to operate photocopier and fax machine. Making service calls for the operation of equipment in the office.
- Order supplies for the office and Parish as needed.
- Other duties as assigned by the Pastor when required.

**Requirements**:

- Post Secondary education in a relevant field is preferred.
- Advanced knowledge of Microsoft Office (PDF, Word Document, Excel) and Mail chimp, Website.
- 2-3 years of prior secretarial/office experience preferred.
- Strong attention to detail, and ability to organize and prioritize efficiently.
- Strong Communication and interpersonal skills.
- Ability to work independently and follow instructions.
- Strive for empathy, compassion, and kindness.
- A good understanding of and respect for Catholic Doctrine, Liturgy, and practice.
