Paragon is one of Winnipeg’s largest, privately-owned real estate companies specializing in the development of sustainable, purpose-built multifamily rental properties. With over 15 years of experience, Paragon boasts end-to-end real estate services including acquisition, development, construction management and long-term property management. Paragon currently has over 600M+ of projects under development.
**The Position**:
The Executive Assistant will report directly to the President and will ensure smooth operations and facilitate effective communication amongst the Leadership Team. This individual will have exceptional organizational skills, thrive in a fast-paced environment, and excel at multi-tasking.
**Responsibilities**:
- Managing and prioritizing the calendar of the President and ensuring preparation for meetings and presentations with appropriate materials.
- Gathering, organizing, and distributing all required agendas and meeting information in advance of scheduled meetings.
- Attend meetings as required, taking minutes of meetings as required, and proactively following up on any action items.
- Preparing correspondence and various documents such as reports, power point presentations, meeting agendas, and minutes.
- Organizing and coordinating information, workflow, and other office activities; creating new or improving existing processes and procedures to ensure administrative effectiveness.
- Conducting research, analyzing, and compiling information and preparing relevant documents and reports as required.
- Managing electronic files; developing and maintaining various databases and internal file structures.
- Utilizing a high degree of professionalism and initiative to anticipate and meet the needs of the President.
- Coordinating the preparation of expense reports, including preparing and submitting reports to the Finance department.
- Other duties as assigned.
- Post-secondary education in business administration (or similar) or equivalent experience.
- 5-7 years of progressive administrative experience in a fast-paced, demanding professional environment, with at least 3 years supporting senior management.
- Superior computer skills with advanced working knowledge of Microsoft office products, including Excel, PowerPoint, Teams, Word and Outlook.
- Ability to conduct research and prepare reports or presentations.
- Strong organizational skills with the ability to proactively prioritize, organize, and manage a high volume of time-sensitive, highly detailed, and confidential information.
- Strong attention to detail, with a sense of ownership and responsibility.
- Ability to work in a collaborative team environment with excellent interpersonal and communication skills (written and oral).
- Demonstrated analytical and problem-solving skills.
- Experience working with a construction/development company would be considered an asset.
