**Job Details**
**Job Objective**: The Intake Coordinator is responsible for reviewing and scheduling new referrals, as well as coordinating and confirming all necessary services tied to each referral. This position serves as a key liaison, facilitating clear and effective communication between internal and external stakeholders such as adjusters, claimants, lawyers, doctors, and other professionals. Utilizing established policies and procedures, the Intake Coordinator will be responsible for resolving issues and addressing inquiries with efficiency and professionalism.

- 1-4 years of customer service and/ or administrative assistant experience.
- Ability to work collaboratively within a team environment and independently.
- Exceptional MS, Word, Excel, and Google Suite skills.
- Professional interpersonal skills and comfortable speaking to colleagues & other professionals.
- Strong problem solving and multi tasking skills.
- Ability to thrive in a high volume, deadline driven environment.
- Willingness to go beyond one’s own job description to assist the team as needed.
**Responsibilities**:
Scheduling Assessments
- Reviewing Triage notes to determine what assessments require scheduling.
- Schedule several types of assessments, AB, BI, Disability, etc.
- Communicating with parties involved (claimants, assessors, adjusters, etc.), to schedule assessments.
- Preparing confirmation letters and sending confirmation details to customers.
- Documenting scheduled appointments based on customer requirements in appropriate scheduling platforms.
- Obtaining Dates from Assessors and confirming fees.
Coordination of External Services
- Scheduling transportation and interpretation services for assessments via appropriate electronic platform.
- Booking assessment rooms and chaperone services.
Answering Telephones
- Answering client’s, claimant’s and assessor’s questions about file information, assessment dates, etc.
Other Job Duties/Tasks
- Following up with customers with the re-booking of all no show/late cancellation services.
- Training new Intake Coordinators.
**What We Offer**
- $20 per hour (commensurate with experience)
- 2 Weeks of Paid Vacation + 6 PTO days (Paid Time Off).

- Mostly hybrid, working in the office at least 1- 3 days per week.
**Reports To**: Manager and Team Leader, Intake Department
**Hours**: 8:30am-5:30pm
**Breaks**: 1-hour unpaid lunch
