Office Services handle a variety of administrative tasks including, but not limited to managing boardrooms, hospitality services, outside storage, mailing systems, courier deliveries, ordering of office supplies, distribution of incoming mail and internal pick up and deliveries.
- **Duties & Responsibilities**_
- Coordinate document production, photocopy, scan documents, handle and distribute incoming and outgoing couriers/mail and record and track shipped packages;
- In conjunction with library services, update library publications and maintain on site library;
- Oversee and coordinate office security cards and parking passes;
- Assist the Office Administrator with various tasks and projects such as new hire set ups;
- Oversee all aspects of file management, including closing files, offsite storage and destruction;
- Assist as IT backup to support services such as meeting room set up, basic computer equipment set up;
- Order, track, and distribute promotional items and look after storage and distribution of same;
- Collaborate with reception and legal staff providing administrative support as required. Duties to include, but not limited to, reception coverage, meeting room set ups (including IT needs), and maintain all common areas (lunchrooms, copy rooms, etc.);
- Liaise with maintenance workers and facilities personnel;
- Approve invoices as required;
- Assist with firm and office events, as well as miscellaneous marketing activities;
- Order stationary supplies and food, as needed;
- Lead and participate in building/office fire safety and first aid programs; and
- Other duties as required.
- **Knowledge, Qualifications and Experience Require**_
- Minimum of 2 years of experience, preferably in an office/legal environment, however relevant experience will be considered;
- Experience with Microsoft products and strong aptitude for various software programs;
- Dedicated to providing customer service beyond expectation, for both external and internal stakeholders;
- Excellent communication and interpersonal skills; and
- Must be able to lift 15-25 lbs.
