Office Services Clerk

**_The following opportunity is a permanent part-time role at CPSA working 17.5 hours/week (0.5 FTE), Monday through Friday from 8:00a.m. to 11:30a.m._**
As the **Office Services Clerk**, you are responsible for providing clerical assistance to the Corporate Services department for scanning and indexing of documents, kitchen support and coverage. You will also provide general office support including incoming and outgoing mail/courier, arranging for maintenance as required, and ordering office furniture and supplies.
**KEY RESPONSIBILITIES**
- ** General office support to the Corporate Services Department**:
- Pick-up incoming mail and process out-going mail.
- Keep business centers rooms stocked with paper.
- Monitor visitors on the Visitor Management System.
- Provide administration orientation for new employees and set up employee desks.
- Assist with projects for the Corporate Services department.
- Set-up Council Chambers for Council meetings and clean up following meetings.

Provides kitchen support for the office**:
- Unload and load dishwashers.
- Order kitchen supplies, coffee, tea, pop, milk, cream and code invoices.
- Keep kitchen, staff room, break out, meditation, and public meeting rooms tidy.
- Clear dishes remaining in meeting rooms and load dirty dishes into the dishwashers.
- Provide assistance setting up for coffee breaks and lunches for Council meetings.
- Regularly clean fridges, dishwasher, cutlery drawers, cupboards, and microwaves.
- Maintain kitchen petty cash and money from pop/juice sales to staff.

Records administration**:
- Upload documents into a document management system using manual scanning or electronic processes.
- Perform quality assurance on images.
- Review documents and identify appropriate indexing properties.
- Identify issues with document types and names and consult with Risk Management Coordinator.
- Monitor scanning program for potential batch errors.
- Maintain records of off-site storage of files and inventory records as required.

Office and furniture maintenance**:
- Order office furniture and equipment as required.
- Ensure all office furniture is maintained in proper working order.
- Maintain fixed asset database for new and relocated furniture.
- Monitor and action equipment maintenance issues, including follow-up with the landlord.
- Manage fire extinguisher inspection and suppression program.
- Code office and maintenance invoices.

**QUALIFICATIONS**
**Education**:
- Formalized specialized skills typically obtained through a 1-year postsecondary certificate (e.g. secretarial college), or equivalent.
**Experience**:
- Requirement for 1 to 3 years of related experience.
**Skills**:
- Intermediate Work and Excel skills.
- Organized and able to prioritize tasks.
- Good communication skills and strong attention to detail.
**SALARY**
The salary for this position is $24,495 annually and includes a small benefits package.
