**HUMAN RESOURCES ASSISTANT**

JOB SUMMARY

Reporting to the Senior Human Resources Advisor, this role acts as the initial point of contact for staff in relation to Human Resources. Responsible for performing a variety of routine Human Resources duties and providing administrative/clerical support to the Human Resources department.

This position provides a range of confidential and sensitive administrative support services to the HR department. The HR Assistant will maintain confidentiality and ensure the security of all information at all times.

Our supportive housing and low barrier programs provide refuge, services and advocacy for those who are homeless or poorly served elsewhere due to their physical health, mental health, behaviour, substance use, or involvement with the criminal justice system. KEY RESPONSIBILITIES

The job includes, but is not limited to, the following:

- Supports the HR team in the implementation, execution and roll-out of HR programs and processes.
- Responsible for addressing all routine HR inquiries. Responds to employee requests, enquiries and concerns in a timely and solution
- oriented manner. Provides information to staff on current PHS human resources policies and practices, such as attendance and leave management, vacation and sick leave benefits.
- Plays a key role in supporting head office operations and provides coordination and support within Human Resources and the Safety Advisory and Disability Management team.
- Works in partnership with the HR team to deliver superior service and to provide proactive day-to-day HR services and support.
- Enters job descriptions, updates, and maintains hiring documents, training documents, and other required data into PHS systems.
- Administers employee benefit plans from enrolment through termination; responds to enquiries regarding benefits. Maintains records of all employee benefits.
- Prepares all personnel documentation and advises payroll of new hires, changes in status and terminations. Tracks milestone events like probationary periods, term end dates, and notice periods. Initiates action as appropriate on behalf of the supervisor.
- Establishes and maintains confidential employee files; maintains the accuracy and integrity of the personnel database system.
- Arranges workshops and in-service education, in accordance with PHS requirements.
- Other related duties as assigned.

QUALIFICATIONS / EXPERIENCE
- Grade 12 Minimum (Post-Secondary completion preferred).
- 6-12 months of previous experience in an administrative role working with confidential information
- Ability to prioritize, work under pressure, meet tight deadlines and to balance a varied and demanding workload
- Proven diplomacy, tact, empathy and understanding of sensitive/confidential HR issues
- Highly flexible, good tolerance for ambiguity, time-driven deadlines and able to quickly adapt to changing priorities
- Competence and confidence to solve problems creatively, individually as well as part of a team
- Excellent verbal and written communication skills, with the ability to tailor communications to the appropriate audience
- Ability to foster effective relationships with other staff and operate in a collaborative, team-oriented approach
- Desire for continuous learning and professional development
- Experience working with marginalized populations considered a strong asset.
- Must be able to pass a Criminal Record Check for working with Vulnerable Adults and Children.

**Salary**: From $25.50 per hour

Expected hours: 40 per week
