**Job Title**: Human Resources (HR) Assistant
**Location**: Kirmac Corporate Office
**Type**: Full-Time
**Reports To**: Senior Manager, Human Resources
Job Summary
We are seeking a detail-oriented and proactive HR Assistant to join our team. This role will focus on supporting HR operations and providing timely and accurate assistance to employees. Key responsibilities include responding to employee inquiries, creating employment verification letters, and supporting onboarding, engagement, and compliance tasks.
Key Responsibilities
1. Employee Support and HR Administration
- Respond promptly to employee inquiries, ensuring clear and helpful communication.
- Reset employee system passwords as needed to support accessibility.
- Create and distribute employment verification letters.
- Assist in maintaining accurate records and updates in HR systems (Dayforce, Nexsyis, etc.).

2. HR Operations and Coordination
- Assist in coordinating and preparing agendas and minutes for HR/Ops meetings.
- Track, update, and follow up on outstanding averaging agreements.
- Maintain and regularly update the Head Office phone list.
- Support the creation of company-wide and head office-specific monthly calendars, announcements, and Employee Engagement initiatives.

3. Employee Onboarding and Offboarding
- Assist with onboarding tasks, overdue items, and timely follow-ups to ensure a seamless employee experience.
- Support benefits-related tasks such as terminations and staff communications regarding benefits access.
- Track new hire documentation for compliance.
- Support termination processes, including updating payroll systems (Dayforce, Nexsyis, Sunlife, IT systems, etc.).

4. Employee Engagement and Development
- Help conduct bi-monthly engagement surveys, analyze results, and support recommendations.
- Update and track employee development plans.
- Coordinate birthday and employee recognition initiatives, including reminders, lunches, and gift cards.

5. Health and Safety
- Support health and safety initiatives, including Toolbox Meetings, First Aid training, WHMIS updates, and incident reporting (e.g., Form 7).
- Assist in organizing and executing Toolbox Meetings to improve employee engagement and communicate policy updates.

6. Performance and Compliance
- Assist with Step 1 and Step 2 performance incident letters and ensure proper documentation in Dayforce.
- Collaborate with leadership on Step 3 and above infractions as needed.
- Process and track forms for location transfers, compensation changes, and employee tool purchases, ensuring updates in relevant systems.
- Track service anniversaries and update service bonuses.

Measures of Success
- Timely and accurate responses to employee inquiries and support tasks.
- Growing proficiency in key HR systems, including Dayforce, Nexsyis, and Sunlife.
- Consistent adherence to health and safety protocols.
- Effective support for onboarding, performance incidents, and HR forms.

**Qualifications**:

- Education: HR Certificate or Diploma in Human Resources an asset.
- Experience: 6 months to 1 year of experience in an HR or administrative support role.
- Proficiency in HR systems such as Dayforce or similar platforms (preferred but not required; training will be provided).
- Strong organizational and time management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work collaboratively within a team and demonstrate high levels of professionalism and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
