Reporting to the Manager, Labour & Workplace Experience, the Assistant, People & Culture will play a vital role in the day-to-day administrative support to the People and Culture team.

The Assistant, People & Culture provides a wide range of support, including Labour Relations, and general department needs. This role works closely with employees to build a safe, positive, productive, and committed culture that attracts and retains high performers to achieve institutional results that align with Algoma’s commitment to equity, diversity, inclusion,
Decolonization, and Indigenization

This role requires sound judgment, exceptional attention to detail, adaptability, and the ability to work under challenging time constraints and conditions. The incumbent is expected to display high standards of diplomacy, professionalism, and confidentiality.

RESPONSIBILITIES:
**A. Talent Acquisition Support (40%)**
- Ensure job announcements are posted and logged, and suggest additional posting locations.
- Maintain, update, and research alternative posting locations.
- Assist with interview scheduling, as required.
- Establish and maintain electronic records, including talent acquisition files (resumes, interview notes, background checks, testing, etc.).
- Assist in preparing and distributing talent acquisition materials such as interview packages, new hire documentation, and new hire welcome/onboarding packages.
- Develop all new hire announcements and work closely with the Assistant to the

Director to ensure all applicable deadlines are met.
- Assist with procedure development and review as required.

**B. Labour & Employee Relations Assistance (30%)**
- Maintain the Labour Relations Complaint and Grievance Tracker and ensure all relevant information and documents are inputted.
- Work closely with respective Dean’s Offices with regard to document acquisition and scheduling necessary meetings, as per the Collective Agreement.
- Ensure compliance with Collective Agreement timelines regarding labour relations issues.
- Provide documentation for University’s legal representatives and schedule meetings, as required.
- Ensure all relevant settlement payments are submitted.
- Provide administrative support as required for investigations.
- Attend meetings as required, including taking and distributing minutes.
- Assist in bargaining by researching issues, providing relevant information and administrative support (such as room bookings, scheduling, etc) throughout the process, and attending bargaining meetings when necessary.
- Maintain seniority list for bargaining unit(s).
- Execute annual staff and administration salary Step Progression.
- Assist with coordinating the Joint Job Classification Committee (JJCC) and Joint Job

Classification Appeals Committee (JJCAC).

**C. Administrative Duties (20%)**
- Act as the first point of contact for the P&C Department.
- Responsible for ordering name tags for employees across the institution.
- Monitoring and processing of employee reimbursements related to P&C.
- Ensure major life events of employees are recognized in accordance with the Life

Events Standard Operating Procedure.
- Support administrative functions related to special projects, initiatives, and events, as required.
- Assist with coordination and organization of meetings as required including logistics, catering, bookings, equipment, and preparation for the Labour and Workplace
Experience portfolio.

**D. Other Duties (10%)**
- Provide backup to the alternate Assistant, People & Culture, as needed.
- Support other team initiatives and other duties, as assigned.

**MINIMUM QUALIFICATIONS**
- Undergraduate degree in any field, with preference given to a degree in Business
Administration, with a specialization or certificate in Human Resources or a related

field, and a minimum of two (2) years experience in an administrative support role, or an equivalent combina
