- Re _p _o _rting to the System Superintendent of Indigenous Education, the A _d _m _i _nistrat _i _ve Li _a _ison - Superintendent of Education _w _ill provi _d _e a _d _m _i _nistrative _l _e _a _ders _h _ip in a te _a _m _envi _r _o _n _m _e _nt to the System Sup _e _rinte _n _dent and _will also act as key liaison with the Elders Council, Urban Indigenous Community Advisory Committee, Senior Team, Principals, Vice-Principals, central staff, school-based staff, Trustees, parents and community members.- The Administ _r _a _tive _Liai _s _on _w _ill p _ro _vide k _n _o _w _le _dg _e _, support _a _nd _train _i _ng for office sup _p _ort staff in the Urban Indigenous Education Centre and _w _ill be the _a _d _mi _n _istrative contact for scho _o _l su _pp _o _rt staff and a _d _m _i _nistrators _o _n _operat _i _o _n _a _l manners across the system.**Summary of Duties**:
Ø Respond to calls from p arents, principals, trust e es, media, staff, other e ducators, members of the public and community in a timely manner;

Ø Support the Superintendent of Education in providing direction to schools to implem e nt system initiatives and appropri a te emergency/crisis res p onse to provide appropriate decision-m a king communication su p port and referral;

Ø Relay information to princi p als on policy and emergent situatio n s and resp o nd to inquiries regarding Board polici e s and procedures and refer callers to appr o priate Board staff and mediate some situatio n s;

Ø Provide confidential administrative s e rvices regarding scho o l-based employees, e.g., performance reviews, disci p linary issues, grievances, etc.;

Ø Liaise with Employee Services and other departments in r e solving iss u es at the Learning Centre/department level (le a ves, payroll, postings);

Ø Process excursion req u ests for co m pliance, c o mpleteness, and accur a cy with respect to the T DSB’s policy and proced u res with sp e cial atten t i o n to student safety and l i ability issu e s;

Ø Formulate the Superint e ndent's/department bu d get; act as key contact f or budget expenditures and monitor budget activity on an ongoing b asis;

Ø Gather data, analyze and summarize reports including Annual Indigenous Education report, enro l ment reports, scho o l st a ff utiliz a tion reports, transfer of s t aff reports, professional developm e nt repo r ts, site improv e m ent alloca t i o n reports a n d safe schools r ep orts and da t a;

Ø Provide confidential s up port in dealing with individual stude n t issues (e. g., child ab u se, suspensions, IPRCs, etc.);

Ø Compose, edit and pre p are corres p ondence;

Ø Prepare and distribute i n formation/agendas for meetings and record minutes of meetings as requi r ed;

Ø Co-ordinate meetings and appointments on behalf of the Superintendent including maintaining and updating calendar;

Ø Liaise and share information with the Ministry of Education, Indigenous Education office and o t her Board staff;

Ø Participate in leadership team meet i ngs and ensure follow up on action items at those meetings;

Ø Manage, m a intain office records, ensuring accur a cy and appropriate cross-referenci n g as requir e d;

Ø Manage relevant data and prepare ad-hoc and r egular reports;

Ø Receive, track, forward, respond and or follow-up all incoming mail and prioritize writt e n and verbal requests for the Superintendent’s attention.

Ø Provide support/back-up to other Administrative Liaisons/department staff as required;
Ø Facilitate t h e purchasi n g of equipment and res o urces from the Superintendents/department b udget;

Ø Manage and track purchases and expenditures using SAP;

Ø Ensure info rm ation is u pdated in a t imely fashion utilizing HRIS (e.g. absences);

Ø Liaise with Safe Schools Departm e nt and issue alerts to the Superintendent on any emergency situation that may ar i s e (e.g. lockdowns, threats, etc.);

Ø Provide training to Office Administrators, Princi p als and Vic e -Principals r elated to system initiatives, policies, procedures and protocols;

Ø Implement a nd monitor system initiatives such as new budget building pr o c ess and n e w data ma n agement (filing) syst em s;

Ø Provide leadership in fostering equity and inclusiveness in the development and implementation of programs and services; and

Ø Other duties as assign e d.
