Executive Assistant

Hospice Niagara is currently seeking a full-time, permanent** Executive Assistant.**
Reporting to the Executive Director, the Executive Assistant provides high-level administrative support such as:
- Preparing correspondence, maintaining schedules, coordinating meetings, planning and executing special events, handling information requests, receiving visitors, completing travel arrangements, expense reports and timesheets, conducting research and preparing reports.
- The Executive Assistant also compiles materials for the Board of Directors and Committee meetings; acts as a liaison between board members and the leadership team, attends all meetings and prepares and distributes agendas, meeting minutes, reports and keeps Board and Committee work plans up to date
The Executive Assistant oversees and provides supervision to Administrative Assistants across Hospice Niagara (currently 1 and up to 3 when new sites open). The Executive Assistant will ensure:
- All Administrative Assistants represents Hospice NIagara with a client centric approach consistent with the values of the organization
- Ensures all work is completed consistently, accurately and on on schedule
- Manages coverage of the administrative desk in all locations.

**Hospice Niagara offers**:

- $58K - $72K annually depending on experience
- 35 hours per week
**Successful candiates will be**:
- Experienced Executive Assistants with 3+ years of experience
- A desire to lead other administrative professionals, experience preferred
- Post-secondary education with a specialization in administration, business, or a related discipline
- Comfortable setting up presentation equipment including laptop, projector, speakers, etc. and problem-solve any technical issues in a timely manner
- Understanding of financial documents (e.g. budgets )
- Demonstrated competence in the preparation of meeting minutes
- Understanding of philanthropy and the not-for-profit sector
- Hours of work are typically Monday to Friday 8:30 AM - 4:30 PM but will vary depending on meeting and event schedules so flexibility for evenings and weekends is required.
