Waste Operations Administrator

GFL Barrie is looking for an operations administrator to support the liquids line of business

**.Key Responsibilities**:

- Purchasing, getting quotes, cost comparison
- Creating purchase order requisitions, receipts, invoice or credit memo entry, - three-way match and closing PO - PO change orders, receipt adjustments, (Workday Finance), entering non-PO invoices, quick cheque req’s, blanket PO’s, pre-paid invoices
- Follow up with vendors for updated ETA’s, backorders, missing invoices, pricing discrepancies, download invoices from vendor portals, reconcile vendor statements at branch level to ensure they have all been entered for payment, distribute Mark’s Work Wearhouse invoices across branches
- Manually track PO’s, invoices on PO tracking spreadsheet
- Provide purchasing history, pricing to management/supervisors upon request
- New vendor set up requests and gathering pertinent information to facilitate the request (ie. GST# verification, insurance documentation
- P-card expense reports in Workday, uploading and coding cc receipts
- Petty cash expense reports in Workday - petty cash management, withdrawing funds at bank,
- Enter pricing for disposal and trans in TD Report
- Interco charges - double checking against run sheets to make sure backhauls are captured referencing work orders company operational management system (OMS)
- Create Outbound CSA’s, add lines to outbound CSA’s (OMS)
- Requesting scrap metal pricing from AOR for billing admins
- Daily use of Excel, Word, Outlook, Citrix, Workday, Responsible for ad hoc internal reports and customer requested billing/invoicing report
- Verifying hours and premiums for payroll for drivers (Agile, GeoTab), notifying drivers when GeoTab and Agile do not match, checking hours against run sheets
- Book hotel rooms for drivers layovers as required, make sure hotel has cc authorization form on file, issuing meal allowances to drivers from petty cash float
- Setup new employees with Fastenal vending machine, issue boot vouchers, prescription eyeglass forms to supervisors upon request
- Inventory costing, month end inventory adjustments, month end submission, entering driver supply inventory on count sheets
- Assisting Operations Manager with month end profit and loss analysis - drilling into expense lines (IBM Cognos)
- Manual tracking of capital invoices
- Adhering to deadlines for month end PO accruals and inventory submission
- NPRI data collection
- Ensure waste tracking is implemented, completed and up to date daily.
- Assist operations supervisors with organizing third party contractors, to complete maintenance tasks for the Barrie site.
- Assist Operations Manager with obtaining quotes for current and future capital works.

**Knowledge, Skills & Competencies**:

- Experience in waste identification and classification is an asset.
- At least 2 years customer service and/or office administration experience.
- Strong interpersonal skills and ability to develop and foster relationship growth in a professional setting.
- Schedule is 8 AM - 4PM
- Capable of empathetic listening and conflict resolution in a fast paced and high-volume environment.
- Desire and motivation to gain knowledge about the industry in multiple facets to develop professional skills within the waste management space.
- Excellent communication skills in oral and written English.
- Ability to independently resolve problems within one’s scope of authority and understanding of when to escalate to superiors.
- Ability to work without supervision.
- Overtime during certain peak seasons is required.
- Proficiency in Microsoft office suite including Word, Power Point and Outlook with emphasis on Excel.
