Flexible Learning Declaration Specialist

BCIT’S **Registrar’s Office** is seeking a** temporary, full-time (1.0 **FTE**) Flexible Learning Declaration Specialist. **This position provides administrative support related to flexible learning student program declarations. Working closely with Program Advising and the Registrar’s office (RO) staff, the administrative specialist analyzes documentation and oversees the flow of electronic documentation through a multi-stage process, ensuring that work is completed in an effective and timely manner, with a high degree of accuracy. This position is responsible for updating the student record, producing standardized program plans, recording transfer credit, and graduation status.**Duties & Responsibilities**
**DUTIES** **AND**
**RESPONSIBILITIES**:
- Monitors workflow through a multi-stage, electronic process
- Runs reports, identifies and resolves data integrity issues
- Maintains program plan templates to as amended through Program Information Updates and Policy changes
- Performs initial reviews of flexible learning declaration requests
- Generates non-customized (standardized) student program plans
- Updates Banner student record to reflect admission status
- Updates Banner student to reflect Transfer Credit(s) awarded and ensures all required documentation has been received
- Communicates any documentation requirements to students
- Updates the student record following an Advisors confirmation of graduation eligibility
- Produces flexible learning credentials
- Assist with convocation preparation and attend convocation ceremonies
- Responsible for scanning and indexing of supporting documents provided by students
- Provides additional support as required within Advising and the Registrar’s Office including assisting staff and students as required
- Participates in Records Custodian training and remains current with records keeping practices, policies and procedures (both BCIT and FOIPOP)
- Undertakes related duties as assigned, consistent with the job grade of this position.

**QUALIFICATIONS**:

**Education**:
**Experience**:
- Two years general experience plus one year administrative experience working in related jobs inside or outside the institute.
**Software/Computer Application(s) and Expertise**:
- Demonstrated proficiency in large enterprise systems, such as Banner, Cognos, and MS Office (Outlook, Word and Excel) at the intermediate level.
**Communication/Interpersonal Skills**:
- Excellent written and oral communication skills
- Ability to deal with students and staff, at all levels in the organization, in a professional and diplomatic manner
**Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.)**:
- Excellent planning, time management and organization skills, with proven ability to work on multiple tasks simultaneously
**Other Skills/Abilities**:
- Proven ability to use logic, critical thinking and judgement in decision making
- Demonstrated ability to work independently and as a member of a high functioning team environment
- Ability to problem-solve and resolve issues independently within a high volume, fast paced environment
- High level of initiative, attention to detail and commitment to accuracy
- Customer service oriented with an emphasis on quality

**Salary Range**
- Salary Grade 6: $56,241 - $60,872 per annum.**Additional Salary Information**
