**1. JOB OBJECTIVES**

The Reports Coordinator will work closely with the inspection team to prepare reports following visits by technicians to industrial and commercial buildings in the greater Montreal area. You will work in a fast-paced environment that requires attention to detail. The goal is to elevate the to a Coordinator position within the department.

**2. PRIMARY FUNCTIONS**

**Tracking**
- The reports coordinator is responsible for ensuring that the entries on the Reports Progress Spreadsheets are in the correct order so that the reports are processed within a reasonable turnaround time.
- The reports coordinator is responsible for tracking that reports are submitted & received from the technicians within the required turnaround time using the Reports Progress Spreadsheets. If not received, they follow up with the scheduling team to ensure the reports are submitted on time.

**Report Processing**
- Once all reports are received, the reports coordinator is responsible for processing the annual inspection report OR 537 verification report. This includes ensuring the report is in the correct format (excel), updating OR entering the information to reflect the current year’s results using technician’s submitted reports.
- It is the reports coordinator’s responsibility to put together a list of deficiencies, recommendations & forecasted items based on what was noted by the technician. Once put together, the list is sent to the Deficiency Estimator for code referencing & pricing.
- It is the reports coordinator’s responsibility to PDF the report and finalize it for the account manager to send it to the client.
- The reports coordinator is responsible for processing the annual inspection OR 537 verification reports.

**1. OBJECTIFS DU POSTE**

L'administrateur chargé des rapports travaillera en étroite collaboration avec l'équipe d'inspection pour préparer les rapports suite aux visites des techniciens aux bâtiments industriels et commerciales dans la grande région de Montréal. L’adjoint effectuera ses tâches dans un environnement à rythme rapide qui nécessite un bon souci du détail. L’objectif est d’élever l’adjoint administratif à un poste de coordonnateur au sein du département.

**2.** **PRINCIPALES RESPONSABILITÉS**

Suivi
- Le coordinateur des rapports est chargé de veiller à ce que les entrées dans les feuilles de calcul de l'état d'avancement des rapports soient effectuées dans le bon ordre afin que les rapports soient traités dans un délai raisonnable.
- Le coordinateur des rapports est chargé de vérifier que les rapports sont soumis et reçus des techniciens dans les délais requis à l'aide des feuilles de calcul de l'état d'avancement des rapports. Si les rapports ne sont pas reçus, il assure le suivi auprès de l'équipe de planification pour veiller à ce qu'ils soient soumis à temps.

Traitement des rapports
- Une fois tous les rapports reçus, le coordinateur des rapports est chargé de traiter le rapport d'inspection annuel OU le rapport de vérification 537. Il s'agit de s'assurer que le rapport est dans le bon format (excel), de mettre à jour OU de saisir les informations pour refléter les résultats de l'année en cours à l'aide des rapports soumis par les techniciens.
- Il incombe au coordinateur des rapports de dresser une liste des déficiences, des recommandations et des éléments prévus sur la base de ce qui a été noté par le technicien. Une fois établie, la liste est envoyée à l'estimateur des déficiences pour référencement et tarification.
- Il incombe au coordinateur des rapports de produire le rapport en format PDF et de le finaliser pour que le gestionnaire de compte puisse l'envoyer au client.
- Le coordinateur des rapports est responsable du traitement des rapports d'inspection annuelle ou de vérification 537.

- Connaissance du secteur de la protection incendie (un atout)
- Expérimenté et rapide à la saisie de données
- Souci du détail et de la précision
- Débrouillard, ambitieux et travaillant
- Fiable, consciencieux et doté de bon sens
- Organisé et capable de gérer efficacement les priorités
- Langues: compétent en français et en anglais, écrit et oral.
