**Administrative Assistant-Permanent Full-Time**

We are looking for a permanent full-time Administrative Assistant to add to our team in Burlington. This company is a diversified heavy civil construction company with a dependable reputation for more than 90 years. The company specializes in many construction projects, such as sewers and water mains, excavation, roadways, concrete works, asphalt paving & concrete paving.

**Responsibilities**:

- Various administrative tasks such as greeting visitors to the office, answering phone calls, scheduling, calendar management for the Estimating team, and preparing meeting minutes
- You are the face of the company and the reception desk's first point of contact
- Extract data and pull reports to convert to Excel files for inputting tenders into the Bid2Win system
- Entering POs into company systems
- Insurance Administration - helping to obtain insurance/bonding for project bids & won
- Manage the working relationship between subcontractors and internal teams
- Coordinate weekly estimation and sales team meetings; take meeting minutes, and follow up with the team afterward on administration items to be completed
- Assist the Project Management team in the field by tracking the field locates + Potential support with implementing a new software system
- Set up administrative systems and processes to enhance current ones, continuous improvement activities, and support digital marketing. Social media may also be included
- Other duties to be assigned; the role will evolve based on the individuals' skillset and contributions

**Skills & Requirements**:

- Must have Strong Microsoft Office, Word & Excel skills
- Previous related administrative experience, experience within the construction environment, is an asset
- Lives 30 to 45 minutes from Burlington, ON - this is an in-person role
- The capability to work independently
- Exceptional organizational, communication, and people skills
- Interest in a position that can be enhanced based on your capabilities
- Excellent organizational and time management skills
- A vehicle and valid G license are required

**Compensation/Benefits**:
