**About You**:
As the Client Service Specialist, you will be responsible for providing excellent customer service to our clients and team. Working **On-Site** in a family environment within financial investment services, you will bring your office management skills to maintain the general administrative aspects of the office, while being comfortable to support and maintain the client relationship. Your attention to detail and organizational skills will be key to assist the execution of various financial and insurance forms for our clients, while making them feel valued and appreciated.

**The Day-to-Day**:
Client Tasks:

- Responsible for preparing forms and verifying they have been received and processed correctly (DocuSign & Microsoft Forms)
- Preparing meeting folders and gathering materials in advance of client meetings
- Comfortable with direct communication with current and prospective clients
- Contact clients directly to schedule review meetings and other meetings
- A vital part of the client service team. Process and draft correspondence; maintain and update client database (SmartOffice & Snap Projections)

Team Tasks:

- Become proficient with our internal systems; learn client e-file organization (SmartOffice, OneDrive & SharePoint); assist in the preparation of financial reports and effectively use IT initiatives
- General administrative tasks, including but not limited to, answering phones, greeting guests, processing mail & faxes, collecting payments, as well as sending client cards, etc.
- Responsible for communicating with the Andreoli Financial Services Team regarding task status
- Serve as a liaison with other functional areas, external customers, and vendors in the resolution of routine administrative and operational problems
- Correspond with custodians regarding processing, account alerts, and other back-office items (Quadrus, Canada Life, Financial Horizons)
- Maintain general office neatness

Marketing/Social Media Tasks:

- Review/send our weekly newsletter (Advisorstream)
- Schedule social media posts
- Other marketing/social media tasks
- Organize, Coordinate, and Market Seminars

**The Skills & Experience**:

- Must have 3-5 years of direct experience in a financial investment services/wealth management administrative client support role
- If not licenced already, willing to pursue industry related training & programs (LLQP, CSC/IFIC, Financial Planning Courses, and applicable industry related continuing education)
- Familiarly with investment management terminology and systems
- Post-Secondary degree in business, finance, economics, or other related discipline would be an asset.
- A marketing background would be a bonus
- Ability to work successfully in a fast-paced, small team environment
- Proficiency with Word, Excel, Outlook, and technology/social media in general
- Ability to quickly learn other software used by the team (SmartOffice, Microsoft Applications: Teams, Lists, SharePoint, OneDrive, Snap Projections etc.)
- Must be organized, meticulous, detail-oriented and ability to track many outstanding tasks/duties
- Must be able to prioritize work; ensure daily deadlines are met, and work independently as needed
- Proven experience providing excellent customer service
- Strong interpersonal, relationship and team player skills
- Ability to exercise discretion while managing confidential information with clients, their families, and friend groups
- Excellent written and verbal communication skills

**Salary**:

- $50,000 to $60,000 per year based on experience.

**Schedule**:

- Full-Time: Monday to Friday (On-site) & ability to commute to Markham (14th Avenue & Birchmount Road)

**Job Types**: Full-time, Permanent

Pay: $50,000.00-$60,000.00 per year
