The Proposal Coordinator’s primary responsibility is to provide coordination support to estimation. Responsibilities include working within proposal management software, tracking opportunities, leading bid/no bid meetings, tender preparation, process tracking, and final submittal. The Proposal Coordinator works closely with all divisions to process their tenders.

**We're looking at motivated individuals to**:

- Work with all Business Units and technical teams, as required, to create professional, high-quality proposals from initiation through to production and delivery of the final product;
- Work daily within internal and external proposal management software systems;
- Develop, prepare and present various documents related to promoting the companies’ qualifications and capabilities;
- Work with our Business Unit teams to coordinate the flow of information to ensure internal and external deadlines are met and appropriate reviews are completed;
- Complete and/or coordinate document formatting, editing, printing, distribution, and overall document reviews prior to submission;
- Prepare and update resumes of key personnel;
- Develop strong internal relationships to foster responses to requests in a timely manner, while maintaining high quality work consistent with corporate marketing, brand messaging and proposal writing standards;
- Implement quality control measures to ensure proposal requirements and corporate standards are met;
- Facilitate proposal milestone meetings including Bid/No Bid meetings and executive reviews;
- Compile and assemble documents for tender and ensure all requirements are met for Submittal of finalized proposals to the appropriate portals;
- Track and monitor potential project opportunities and distribution of the tender results using internal systems;
- Participate in proposal debriefings to ensure continuous quality improvement and to identify enhancements for proposal content and process;
- Complete other duties as assigned;
**Preferred Qualifications**
- Experience in utility, construction, infrastructure, and engineering
- Experience in SAP Ariba Network
- Post-secondary education in an administration, marketing, business, or communications field will be considered an asset
- APMP Certification would be considered an asset
- Advanced skills on the Microsoft Platform and experience with large and complex document formatting
- Strong business writing, editing, and communication skills
- Aptitude for formatting, editing, and creating high caliber written content for proposal submission
- Ability to create and develop charts, graphs, and dashboards to illustrate written proposal communications
- Excellent attention to detail and a high regard for accuracy and quality
- Understanding of basic financial terms and functions, along with experience working with budgets and schedules (e.g., Primavera P6) is an asset;
- Strong interpersonal, organizational, and time management skills with the ability to work successfully in a fast-paced environment with changing workload demands
- Experience using proposal management software platforms considered an asset
