Project Assistant

**General Accountability**
Reporting to the Manager/Director, this position will provide office support services to the 900 solutions. The role carries out and coordinates special assignments and tasks as directed; coordinates the preparation of responses to internal and external communication requests; researches information and prepares a variety of correspondence, reports and other materials. The incumbent will maintain departmental records; and provide guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.
**Key Job Functions**
- Planning and coordinating the daily activities and schedule of the Manager/Director
- Receiving and reviewing incoming correspondence addressed to the Manager/Director, and initiating action for ensuring timely processing
- Composing, or coordinating the preparation of confidential/sensitive correspondence for signature by the Manager/Director
- Answering and/or screening telephone inquiries and/or concerns, issues, etc. received from internal/external sources
- Assisting to prepare the 900 Solutions budget which involves compiling budget data, tracking expenditures against budget, investigating variances, etc.
- Preparing and/or reviewing various corporate/departmental forms, reports, etc. for accuracy and completeness e.g. Staff Summary Sheets, Board Report, Purchase Authorizations, Recruitment Requisitions, etc.
- Conducting research and/or preparing reports/presentations for special project assignments that may include internal and external resources
- Scheduling and coordinating meetings; organizing all related administrative tasks;
- Maintaining (electronic and hard copy) filing systems for the Manager/Director’s office
- Coordinating orientation for new employees and consultants to the 900 Solutions
- Providing guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies

**Education and Experience**
- Completion of a post-secondary college diploma or university degree in related discipline or combination of education, training and experience deemed to be equivalent
- Several years of related experience in providing administrative support to senior management staff, including budget administration is an asset
- Experience acquired in a project management environment involving large construction projects is an asset
**Additional Requirements**
- Sound knowledge of principles and practices of administrative techniques and office procedures combined with knowledge of business administration concepts and practices
- Strong knowledge of research methods and techniques
- Proficiency with Microsoft Office software (Word, Excel, PowerPoint, Access, SharePoint, Outlook)
- Detail oriented and possess well-developed organizational skills with demonstrated ability to coordinate and implement assigned projects
- Excellent interpersonal, oral and written communication skills; ability to handle confidential matters in the form of contacts or correspondence
**Salary**: $2,600.00-$3,600.00 per month
