The
_Sales and Marketing Support Coordinator_ is responsible for coordinating activity and providing administrative support to the Sales and Marketing Departments. The focus of this position will be to gather and organize information, samples and introductory deals pertaining to brands. This position will offer expertise in working with forms, reports and excel spreadsheets by extracting, tracking, and compiling information using our in-house systems and software. Additionally, this position will provide support to the Management Team by organizing meetings and events and engaging in administrative tasks as requested. The Sales + Marketing Support Coordinator will develop working relationships with suppliers, brokers, and team members within Horizon.

**SUMMARY OF RESPONSIBILITIES**:
**Product (SKU) Information Coordination**:

- Receives notification from Horizon Buyers of changes to products. Communicates product information internally by generating and sending out notices for advance and immediate discontinuations and changes.
- Compiles weekly reports of discontinued products, arriving products and product changes for the sales team.
- Uses Adobe Creative Suite to create New Product Launch information related to new product arrivals. Distributes to the sales team.

**Sales Team Support**:

- Generates Top Sellers Report bi-monthly for the sales team.
- Runs Sales reports as requested or as scheduled.
- Updates sales report schedule/tracker for the Accounting Department.
- Works with suppliers and brokers to obtain authorized discounts related to new product launches.
- Assists in generating ideas and creating marketing tools for Sales.

**Samples and Promotional Materials**:

- Responsible for maintaining an organized, well stocked product sample room. Orders supplies as needed.
- Orders product samples multiple times a month based on arrival of new products. Distributes to sales team for local and remote account managers.
- Creates gift baskets and other materials for retail customers. Responsible for administrative tasks related to the ordering, billing, and shipping of these materials.

**Trade Shows**:

- Helps coordinate and execute tasks related to CHFA Now Vancouver trade show before and during the event. Attendance is required.

**Marketing Team Support**:

- Updates data sources of various excel files monthly to capture product updates, new items and price changes.
- Compiles sales and promotional results of pre-booked activity. Tracks activity via excel.
- Consolidates key account retail flyers and executes monthly updates for Supplier Relationship Managers (SRM).
- Supports the SRM team by pulling together data and reports. Creates graphs, reviews retail product listings and adds promotional information to business review templates in preparation for business review meetings between SRMs and suppliers.
- Creates gap reports as requested.

**Other duties**:

- Provides vacation coverage for Sales Support Coordinator colleague. Handles administrative tasks in addition to any on site duties as required.
- Assists People + Culture as requested to implement events for staff, particularly by securing product from suppliers and industry brokers.
- Acts as a resource for miscellaneous projects and tasks as assigned by Management.

**QUALIFICATIONS + EXPECTATIONS**:

- Excellent organizational and administrative skills and prioritizing abilities.
- Excellent computer literacy with up-to-date skills with Windows and advanced Excel.
- Knowledge of QlikView reporting software and Adobe is an asset.
- Professional communication skills, both oral and written.
- Comfort communicating in a professional manner with external business partners.
- Strong attention to detail.
- Ability to handle multiple tasks and deadlines simultaneously.
- Proven ability to work with various reports and provide appropriate analysis/summaries.
- Accurate and detail-oriented with ability to work under pressure with tight deadlines.
- Industry knowledge (including product knowledge) is a key element of this position.
- Previous industry administrative experience and training an asset.
