Reporting to the Associate Registrar, Student Recruitment, the Agent Relations & Recruitment Operations Administrator is responsible for supporting the Student Recruitment Teams, including scheduling, organizing and expediting workflow and meetings, human resources transactional administration, internal communications, and coordinating various logistics and activities.

The incumbent will support Sheridan's partnership infrastructure with agents by ensuring the processes for securing, monitoring updating and ending contracts with International Education Agents are followed.

What You’ll be Doing

Supporting the Associate Registrar's (AR) schedule and the department-wide information sharing (calendars, meetings, updates) along with scheduling and attending a variety of meetings, as requested on behalf of the AR to record /communicate pertinent information and provide departmental perspective on issues presented. Develops presentations, spreadsheets, and alternative materials for internal use around processes.

Ensuring that contracts with international educational agents are current in the system and monitors all contracts. The incumbent will work with the international managers to identify agent contracts requiring renewal or reviews. The incumbent will liaise with the financial analyst and the assigned international manager to provide information so that a decision to adjust, renew or terminate the contract can be made. The incumbent is responsible for ensuring the agent contract is entered correctly in the college’s student information system to reflect the contract permissions.

Acting as a first point of contact for customs clearance invoices for goods being shipped from out of country and coordinating with Recruitment Operational team to arrange delivery.

Collecting and reporting on absenteeism and vacation planning for all team members within the Recruitment Team. Works with the managers to support the tracking and reporting of Averaging of Hours (AOH) for support staff. Analyzes and summarizes information on staffing resources and services and prepare summary reports with recommendations related to AOH usage to supervising managers and the Associate Registrar.

Must possess a minimum of a 2-year college diploma in Executive Office Administration, Business or Event Planning

Functional CRM certification such as Salesforce or Dynamics would be considered an asset

Must possess a minimum of 3-years of experience in a related administrative role

Must possess financial acumen and experience administering departmental tasks

Experience with Web page design, Visio, SharePoint, Survey software, PeopleSoft Financial and Salesforce CRM would be considered an asset.
