The Real Estate Council of Ontario (RECO) is seeking one (1) Regulatory Analyst & Administrator for a long-term temporary contract position, ready to start immediately.

Hybrid work environment

The role

Under the direction of the Registrar, this position is the primary touchpoint for gathering, recording, analyzing, reporting, and storing all statistical data and survey information pertinent to the Office of the Registrar (OTR). The incumbent serves as the primary contact and information source for the Registrar and Deputy Registrar, managing individual calendars and providing general administrative support.

Position responsibilitiesGathering, recording and storing data
- Gathers and records data from a variety of sources on a monthly, quarterly, and annual basis.
- Creates and maintains both regular surveys and ad hoc requests from the Registrar.
- Tracks data and maintains statistics spreadsheets for OTR and other departments.
- Checks source data to verify completeness, accuracy and the integrity of the process.
- Contacts the relevant department(s) to resolve discrepancies.
- Organizes and stores all statistical records, using appropriate file classifications and storage systems, to ensure accurate and timely retrieval.

Analyzing and reporting data
- Interprets and analyzes statistics and survey response data.
- Chooses meaningful and engaging data visualizations to accurately represent the results to assist the Registrar in informed decision-making.

Meeting and calendar management
- Manages the calendars of the Registrar and Deputy Registrar(s), keeping appointments non-conflicting and up-to-date, with relevant meeting documents attached.
- Schedules regular and requested meetings with internal and external personnel as necessary.
- Prepares meeting agendas, accommodations, catering, and circulation of materials when necessary.

OTR administration
- Serves as primary contact and information source about the activities of the Registrar and Deputy Registrar(s).
- Provides general department administration as follows:

- Responds to internal and external inquiries on behalf of the Registrar and drafting responses upon request.
- Organizes and maintains departmental correspondence and follow-up files.
- Coordinates legal and financial documents for the signatures of the Registrar and Deputy Registrar(s).
- Proofreads MCE course content upon request.
- Tracks the Registrar’s expenses by preparing monthly transaction logs and quarterly expense reports.
- Participates in special administrative projects or initiatives, as directed by the Registrar.

Qualifications and experience
- Three (3) to five (5) years’ experience with data analytics/statistics.
- Post-secondary diploma in data analytics, statistics, or related diploma programs and courses.
- Experience and/or education in office administration.
- Demonstrated experience analyzing data sets, identifying trends, manipulating data, and data visualization.
- Competent computer skills including intermediate use of Microsoft Word and PowerPoint, and advanced use of Microsoft Excel.
- Demonstrated experience in maintaining a high degree of confidentiality.
- Excellent verbal and written communication skills.
- Demonstrated experience interacting with the public.
- Strong organizational skills and attention to detail.
- Poise under pressure.
- Flexibility in work assignments.
- The ability to acquire a general understanding of TRESA.
