The responsibility of the Office Administrator is to ensure smooth day to day process of inter-office documentation flow. May be requested to interact with internal and external customers and provide information in response to inquiries of service issues, deficiency’s and to handle, resolve and delegate such customer inquiries and complaints. Responsible for the day-to-day process, organization of documents and general administration duties. Assist the Regional VP of Soils Division with a wide range of tasks focused on daily operations.

**Responsibilities**:

- Greet personnel at the reception desk upon their arrival and professionally assist them with inquiries and/or guide them to their meeting location.
- Maintaining daily sign-out sheet.
- Responsible for general customer/facility inquiries and direct to other appropriate parties.
- Documentation control -photocopy and collate documents for distribution, mailing and filing.
- Assist with arranging client appreciation and social events.
- Assist Regional VP with scheduling and booking reservations for client meetings.
- Manage boardroom meeting schedule.
- Assist with travel requirements when necessary.
- Completing monthly billing, including processing and entering all time and material work.
- Ability to independently resolve problems within one’s scope of authority and understanding of when to escalate to superiors.
- Send vendors and suppliers request for quotations if required.
- Verify invoices with packing slips and work orders.
- Handling routine customer problems and serve as interface between company and customer.
- Assist staff with weekly/monthly reporting.
- Handle high request volumes with effective service quality.
- Create and maintain customer accounts and pricing profiles within our proprietary system.
- Identify account discrepancies and make necessary adjustments.
- Assist with completion of monthly expense reports.
- Manage time-sensitive administrative tasks.
- Other administrative tasks as required.

**Requirements**:

- Post-secondary education (College Diploma or University Education).
- Strong relationship and interpersonal skills.
- Must be motivated, able to multi-task, and work effectively in a team environment.
- Ability to work without supervision.
- Must be detail oriented and results oriented.
- A professional, courteous and welcoming manner - both in person and on the telephone.
- Excellent communication skills in oral and written English.
- At least 2 years’ experience in office administration and/or customer service in an office environment.
- Exceptional computer skills and competency.
- Competent working knowledge of Microsoft office, Excel, Word, Power Point and Outlook.
