Position Summary
Reporting to both the Team Lead, Recovery Oriented System of Care & the Team Lead, Urban Response, the Medical Office Assistant (MOA) is a vital part of the integrated Health & Recovery Services team at the Calgary Drop-In Centre. The MOA will operate within the Urban Response and Recovery Oriented System of Care environments, and depending on assigned tasks and roles, is responsible for coordinating client services, managing the physical clinic environment, managing health information via the electronic medical record (EMR) and The DI’s Guestbook system, and facilitating communications between clients, clinicians, nurses, pharmacy, and external care providers.
Time Commitment
You will be responsible for covering the MOA duties when they away for planned or unplanned absences. Shifts will be picked up on an as-needed basis to help with operational needs.

**Responsibilities**:
- Collectively, with LPNs, RNs, pharmacists, physicians and the administration team, the MOA will be part of a team to support the provision of Health & Recovery Services at the Calgary Drop-In Centre
- Maintain a high-level of competency in EMR use - includes scheduling, information entry and assessment, data management, document management, and all other functions required for care provision at the DI
- Maintain a high-level competency in Guestbook Database use - the DI’s internal client data base. This would include data entry, data management, and all other functions required for care provision and reporting at the DI
- Be responsible for data entry, management of information within EMR, including patient profiles, patient panels, and all functionality of EMR platform
- Possess ability to conduct, for the benefit of triage and as part of care pathway, a medical history and client interview, as well ass assess and document key vital statistics
- Booking and attending all yearly servicing for/certification of Autoclave, Sonic Cleaner, blood pressure machines and medical fridge
- Receiving, unpacking, inventorying, and collaborating with finance department surrounding all deliveries made to the Health & Recovery Services team
- Maintains and restocks all healthcare supplies, as requested by staff
- Cleans and sterilizes beds and instruments following universal precautions and best practice guidelines
- Support care practitioners in day-to-day clinical care of clients
- As requested by a physician or other clinical staff, obtains reports, consultations, diagnostic imaging results, health records, etc. from various care providers and institutions
- Answers the telephone, screens and relays messages to patient and staff, greets and directs patients
- Provides data entry, photocopying, faxing, and filing services
- Strong commitment to working with individuals living with severe and persistent mental illness and addictions
- Strong skills in health promotion and illness prevention
- Coordinates patient care through the clinic
- Shares information gathered from patients with appropriate team members to assist in more comprehensive care of the patient
- Schedules patients for tests and follow up appointments
- Participates in team and staff meetings, as well as professional development opportunities.
Required Competencies and Qualifications
- Medical Office Assistant, Hospital Unit Clerk, or Nurses Aide Certificate preferred. Proof of completion required (if applicable).
- Minimum two years’ experience in a medical office environment if no formal education in the field.
- Satisfactory Criminal Record and Vulnerable Sector Check - dated within the last 6 months. Copy required.
- Knowledge of medical terminology.
- Excellent computer skills.
- Knowledge of community-based support services is considered an asset.
- Knowledge of harm reduction philosophy and recovery and/or social capital an asset.
- Ability to manage multiple conflicting priorities.
- Ability to pay attention to detail.
