- activities delivered throughout BC Hydro. Learning, Development and Trades Training’s (LDTT) purpose is to provide

- We are currently searching for a professional, business savvy Administrative Assistant to provide comprehensive,
- confidential administrative support to the Director, Learning Development & Trades Training. In our ideal world, we are
- looking for someone who can predict needs before we can and impress us with your solution focused attitude. Successful- environment with strong attention to detail and the acumen to navigate the organization is essential. You will be fully
- engaged and busy from the first day and we guarantee there will be lots of variety and never a dull moment.
- Outcomes & Accountabilities:
- with a high level of confidentiality, judgment, discretion, initiative and business acumen.- Following up to ensure that responses are received and actions are completed as required.
- Coordinate the flow of information and materials between the Director, Learning & Development (LD) and direct reports.
Provide seamless coordination and organization for the following:
managing correspondence to ensure all items are prioritized and dealt with in a timely manner through maintaining a
- “prioritized bring forward” system; providing back up materials prior to all meetings including the retrieval of materials and
- preparation of agendas; and prioritizing, managing, and communicating deadlines/action items. Make travel / hotel
- arrangements for conferences etc.- Communicate and coordinate activities with the office of the SVP, Safety & Chief Compliance Officer, BC Hydro Executive
Team members and other senior leaders within BC Hydro as well as external stakeholders. Ensure and maintain open flow
- of communications between Director, direct reports, and extended team including:
- Following up on outstanding action items; preparing/drafting meeting agendas/minutes, presentation and other material for
distribution.
- Be the “glue” that helps create a well-functioning and highly engaged team by:
- Preparing employee documentation such as employee change forms, recruitment requisitions, onboarding, logistics and
provide new employee orientation assistance as required.- Coordinating the recruitment process including working with HR, Recruitment, hiring managers and prospective- Coordinating weekly Direct Report meetings including scheduling presenters and agenda preparation.
- Administering and monitoring various financial functions including invoices, expense claims, purchase orders, service
entry sheets, time and labour, management reporting, purchasing of stationary and/or office equipment.- Expense report preparation and review/auditing prior to sending to Director and Trades & Technical Training Manager
- Excellent knowledge of policies, and procedures to ensure compliance.- Support Director and Direct reports with monthly metrics preparation for LD dashboard & Action tracker (sending monthly- Maintain Org Charts and contact lists for Learning & Development team.
- Web Authoring skills may be required for posting org charts and updating contact lists in LD Hydroweb pages.
- Department training on certain administrative tasks.
Have an orientation to continuous improvement and pro-actively bring solutions on how to make things better by:
- Review current administrative process and develop understanding of why they are set up. Use this knowledge to plan and
implement improvements.- Be open and ready to dive in when required. For example taking on special projects, such as coordinating event planning
