Receptionist and Physio Clinic Support

We are hiringa keen individual in a Reception and Clinic support role.
This part time position requires an immediate weekly work commitment of Thursdays 12:30 to 7:30pm and Fridays 2:30 - 6:30pm, and Tuesdays 2:30-7:30 within 3-6 months. There will also be opportunities to work additional hours during the week and on Saturdays to cover for vacations and sick days.
**Training (paid) start date: Monday, December 30th, 2024**
- Paid training schedule will start on Monday December 30, 2024 and continue until Wednesday January 8, 2025 at mutually agreed to days and hours.
**Independent work schedule start date: Thursday, January 9, 2025**
Lakeview Physiotherapy Clinic and Lakeview Movement Studio are our combined multi-disciplinary practices encompassing orthopedics, pelvic health, peri-natal care, pediatrics, Physio-Pilates, Pilates instructors, registered massage therapists, a Doctor of Traditional Chinese Medicine, and a Naturopathic Medicine Doctor. The two locations, each with plenty of free parking for staff and clients, are across the street from each other in the amazing SW community of Lakeview.
We are looking for the ideal person to join our reception/clinic assistant team that can work out of and support both locations. This busy position will appeal to those individuals who are mature, cheerful, organized, detail oriented; strive for task accuracy and of course who thrive on multitasking. You will embrace teamwork with other receptionists and enjoy reception, customer service and supportive roles that enhance the patient experience as well as facilitate successful days for the practitioners. Additionally, this position requires daily tasks to maintain a clean, orderly and professional clinical environment.
**Job** **Duties**:
- Client reception and exceptional customer service
- Appointment scheduling for 28+ practitioners (physiotherapists, Naturopathic Doctor, Acupuncturist, massage therapists, Pilates instructors)
- Collecting payment, invoicing 3rd party insurers, submitting paid invoices to extended health benefit plans
- Telephone management including fielding inquiries about various services and directing clients to the appropriate therapist and schedule
- Basic record keeping
- Assisting practitioners as able to maintain a timely schedule
- Preparation, cleaning, stocking and organization of treatment rooms
- Laundry
- End of day light cleaning and organizational duties to prepare the clinic for the next business day
- End of day POS batch close and reconciliation
**Job Requirements**:
- Mature, engaging and responsive customer service and telephone skills
- Typing speed 50 wpm
- Confident computer agility to move quickly and smoothly between programs
- Comprehension of cloud-based computing concepts
- Moderate proficiency Microsoft Office including Word and Excel.
- Power Point and social medial platform knowledge an asset
- Ability to handle cash and payment accurately. Experience in Point of Sale operations and balancing an asset.
- Written and spoken proficiency of the English language
- Physical agility and comfort for sitting, walking around the clinic, frequent bending, reaching and laundry tasks
