Project Coordinator

**What you will do**
You will be responsible for providing direct administrative and office management support to the Operations Manager and assisting Project Management staff with various project analysis techniques and in maintaining the entire lifecycle of the project portfolio.
**How you will do it**
- Assist in coordinating project activities throughout lifecycle, including the allocation of adequate resources, scheduling, documentation, budget, and other factors necessary for success.
- Interact with General Contractors and onsite technicians to help manage commissioning schedule.
- Help with onsite data collection.
- Liaison with Field Services Team for scheduling and allocation of manpower.
- Help to reallocate resources across multiple projects where necessary; identify and resolve any resource allocation discrepancies.
- Help coordinate internal milestone dates with Engineering, Production and Operations and evaluate and report on how that will potentially affect client deliverables.
- Analyze, update, entry, management, review, and follow-up of on-site issues through client database.
- Review and help coordinate internal production schedule and help with coordination with internal operations team.
- Read End of Day (EOD) Reports, record EOD data into database, update and analyze EOD issues.
- Communicate site safety info to site techs.
- Enter DCRs from EOD report info for construction sites.
- Track and report on KPIs.
- Communicate with sites regarding delivery times and shipment arrivals; ensure parts are being shipped to site in a timely manner.
- Report to Accounting when units are stored or shipped to site.
- Organize site training on units.
- Create and send warranty documents to site and retain copy for records.
- Communicate with field services employees regarding work status and issue resolution.
- Maintain a professional image and demeanor with all employees, management, executives and visitors.
- Perform other duties as assigned.
**What we look for**
**Required**:
- University degree or diploma in Business Administration or project management, or an acceptable combination of education and progressively responsible experience
- 2 years of direct work experience in a Project Coordinator capacity
- Strong knowledge of general office procedure
- Computer literacy, including effective working skills of MS Word, Excel, PowerPoint, and Outlook
- Professional, responsive, and positive work attitude
- Meticulous records maintenance skills with the ability to maintain filing systems and basic databases
- Superior telephone manners and excellent verbal, written and interpersonal communication skills to communicate with all levels of the organization
- High degree of resourcefulness, flexibility, and adaptability
- Excellent teamwork and team building skills
- Ability to interpret and implement company policies and procedures
- Previous experience in handling confidential or sensitive information
- Strong organizational, time management, and multitasking skills
- High level of sound and independent judgment, reasoning, and discretion
- General mathematical and budgeting skills
- Adherence to safety policies and exercise of caution, as the environment presents many naturally occurring hazards
- Ability to work and communicate with prudence, while effectively managing time, completing tasks, and working safely
