- Previous experience as an administrative assistant or in a similar role preferred
- Knowledge of dental office procedures and medical receptionist duties is a plus
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to multitask and prioritize tasks effectively
- Familiarity with QuickBooks or other accounting software is a bonus
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong problem-solving skills and ability to work independently

Organize the office's operations and procedures by undertaking several administrative tasks

**KEY AREAS OF RESPONSIBILITY**

**DAILY RESPONSABILITIES**
- Document, track, retrieve payments for all outstanding receivables
- ADP time tracking administration
- Issue Purchase Orders
- Greet and provide support to visitors at reception desk
- Processing, verifying, reconciling and filling vendor invoices
- Assist Perimeter Operations Team in all administrative functions and processes
- Provide other administrative and clerical support
- Prepare quotations/estimates, tenders and documents
- Ensure all requests for project related document issuance and coordination of contract services are prepared and completed expeditiously to meet all contract timelines
- Ensure proper document flow making sure that paperwork is filled out as required
- Provide support to ensure proper execution of all projects from proposal stage to invoice.
- Preparing, organizing and distributing all contract related paperwork, as well as maintaining very organized project files.

**WEEKLY RESPONSABILITIES**
- Payroll
- Document, track and retrieve payments for all outstanding receivables

**MONTLY RESPONSABILITIES**
- Document, track, process payments for all outstanding vendor invoices
- Track stocks of office supplies and place orders when necessary
- Benefits Administrative
- Provide backup documentation for Invoicing such as WSIB, Stat Declaration and Certificate of Insurance

**YEARLY RESPONSABILITIES**
- Issued ROE’s
- Set up Health and Safety Training
- Schedule Vehicles Maintenance

**WHEN REQUIRED RESPONSABILITIES**
- Special Events Coordinator
- Liaison with IT team to ensure software efficiencies
- Arrange courier pick-ups and deliveries
- Issue form 7 in case of injuries and follow up
- Submit online locate form to locate underground infrastructure and follow up
- Meeting coordination and preparation
- Support Recruitment Process, postings for full time and summer positions/liaison with post-secondary co-op and Canada jobs/job placement contacts/phone screen interviews/coordinate and schedule interviews for head foreman, making sure employees get all necessary information and clothing when hired.
- Revise and implement company policies and procedures
- Health and Safety Representative
- Coordinate project related services with Vendors
- Employee performance appraisal coordination and execution

**Job Types**: Full-time, Permanent

**Salary**: $27.00 per hour
