Job Summary

Working with a multidisciplinary and diverse team, the Project Coordinator provides coordination and research administrative support for the UBC Faculty Member(s). As part of the ongoing CIHR/NIH-funded AESHA Project, this position provides coordination and research administrative support to the UBC Faculty Members’ research programs.

The Research Coordinator will oversee the research and academic affairs of the Faculty Member(s) (e.g., CVs, finance/budgeting, scheduling, travel, teaching dossier). This position will work with a range of stakeholders including the communications team, trainees and staff working with the UBC Faculty Member(s).

Organizational Status

The Research Coordinator position is positioned within Drs. Goldenberg and Krüsi’s Research Programs within the UBC Division of Social Medicine at the Department of Medicine.

Work Performed

Under supervision of the PIs, including:

- Coordinates all aspects of research conducted by the relevant PI.
- Manages logistics relevant to the PIs’ research programs, including preparation and dissemination of supporting materials and reports. Ensures that research project timelines and deliverables are met.
- Identifies at-risk timelines and notifies the relevant PI. Revises project timelines when necessary. Responsible for ensuring timely completion of deliverables.
- Manages and oversees research budgets. Track expenses for research funds of the relevant PIs’ research programs.
- Organizes and oversees events and symposiums relevant to the PIs’ research program. Identifies and negotiates with vendors, arranges for speakers, and develops materials to promote the events/symposiums to its target audience.
- Creates toolkits and guidance notes in collaboration with key advisors and team members
- Promotes and prepares promotional copy relevant to the PIs’ research programs (e.g. newsletters, blogs).
- Assists with the development of SOPs with regards to Faculty members’ research programs and ensures that University policy is followed.
- Conducts literature and policy reviews. Compiles information and writes summaries of reviews.
- Coordinates meetings with diverse stakeholders and develops supporting materials and summaries. This includes both internal and external stakeholders, both from UBC and from external agencies, institutional partners, funding agencies, etc. Requires a high degree of professionalism and confidentiality.
- Oversees the research and academic affairs of Drs. Krusi and Goldenberg. (e.g., CVs, scheduling, travel, teaching dossier).
- Facilitates effective triaging of internal and external correspondence, including with UBC Human Resources, determination of appropriate action, and timely follow-up as appropriate.
- Develops and executes team correspondence, presentation materials, and resources. Edits and finalizes reports for accuracy, readability, and formatting.
- Liaises and communicates in a professional and courteous manner with faculty, collaborators, partners, staff, funding agencies, and the public to gather and disseminate information.
- Supports and trains graduate students and trainees working with the PIs, including onboarding, set up and technical assistance (e.g, data requests, interpretation of results, writing papers).
- Performs other related duties as required.

The incumbent will work in a designated, appropriate workspace (M-F) or hybrid. Travel to meetings may be required from time to time.

This position works with a high degree of independence and responsibility and exercises a considerable amount of judgement.

Works with considerable latitude; reports directly to the UBC Faculty Members.

Minimum Qualifications

Completion of a university degree in a relevant discipline or technical program and a minimum four years of related experience or an equivalent combination of education and experience. Some positions may require a graduate degree.

Preferred Qualifications

A Masters degree in public health, social or public policy, sociology, or related discipline or relevant combination of experience. Experience in academic / research settings, or an equivalent combination of education, training and experience. Demonstrated project management skills.
