**Working for the Department/Faculty**

The Department of Family Medicine manages the largest physician training program in Alberta delivering family medicine residency training to more than 180 residents each year. The department co-manages four teaching clinics in Edmonton and contracts with community family physician preceptors drawn from a pool of 800 clinical academic colleagues.

**Position**

Reporting to the finance supervisor, the incumbent supports the accurate, timely and professional financial management of the Department of Family Medicine including operating, Academic Medicine and Health Services Program (AMHSP), Clinical ARP (CARP), and Northern Alberta Primary Care Academic Clinics (NAPCAC) accounts. CARP and NAPCAC accounts are based upon stand-alone accounting systems and utilize external bank accounts.

Budgets are consolidated across eight University of Alberta (UA), Alberta Health (AH), Alberta Health Services (AHS) and AMHSP revenue flows that support the academic physicians, clinic operations, and nine department programs. Monthly, quarterly and annual reports are produced for the AMHSP, UA, and external stakeholders.

**Duties**
- Maintain a computerized business accounting system including maintenance of the chart of accounts and ongoing account transactions, journal entries and balances, and investigate discrepancies.
- Prepare and process journal entries, accruals, accounts receivable and accounts payable in corporate accounting software.
- Perform banking activities related to the Northern Alberta Family Medicine Academic Services Corporation (NAFMASC) and NAPCAC accounts including deposits, cheque requisition and preparation, and bank statement reconciliation.
- Process expenditures through financial systems.
- Review and prepare annual UA contracts for 160 faculty advisors, 70 community preceptors, and 30 contracted community leaders, route for execution, and maintain and prepare FTE data.
- Initiate payments to community physicians for teaching activities from schedules in the residency and undergraduate programs, ensuring accuracy, timeliness and completeness.
- Prepare and process department financial transactions involving University accounts including budget preparation, purchase orders, accounts payable, account reconciliation and cheque requisitions.
- Manage and reconcile department PCard accounts.
- Maintain the asset tracking systems, delegated signing authorities and department telephone accounts.
- Coordinate and support the budget planning and allocation process and provides necessary financial information to support decision making.
- Develop reports for ad hoc and ongoing reporting requirements which enable expenditures to be monitored and controlled.
- Provide cost estimates, financial analysis, support and guidance in the preparation of business cases for new programs or services.
- Monitor key financial data and alerts area leadership of potential issues.

**Minimum Qualifications**
- Completion of a post-secondary degree or diploma in accounting. Equivalent combinations of education and experience may be considered.
- Minimum of three years related, progressively responsible experience.
- Advanced knowledge or training in office productivity software including Excel, Word and Google Documents.
- Familiarity with or training in accounting software (PeopleSoft, SupplyNet and QuickBooks preferred).
