Contract Coordinator- Compliance

Toronto, Canada Fer-Pal Infrastructure Full time

The Contract Coordinator supports the Estimating/Business Development Team in reaching business targets and company growth. This position will report to the Contract Compliance Manager, North America (Canada and the USA), and will render support with all facets of contract life from bidding to archiving of contracts following final completion of execution of work. Daily tasks will differ depending on bid submission deadlines and managing compliance of active contracts.
- Creating and maintaining Bid portal registrations.
- Ordering and requesting Tender Documents for bidding and monitoring for Addendums during the bid stage.
- Participating in the discussions during the bid stage.
- Coordinating input with FER-PAL departments for bid submissions.
- Preparing bid submission.
- Ability to manage and maintain, with confidentiality, the compliance of multiple awarded projects simultaneously with various start and completion dates, in Canada and the USA.
- Maintaining bid listing and results.
- Research and familiarize yourself with the requirements of new clients to maintain compliance with Provincial/State regulations for bidding and contract awards.
- Maintaining contract compliance for all Contract Awards simultaneously.
- Assisting the Project Team with contract paperwork as needed.
- Preparing and distributing Subcontractor Agreements and monitoring and maintaining Subcontractor compliance.
- Collaborate with Payroll to ensure Wages/Benefits for field employees to align with Owner’s Contract Specifications.
- Collaborate with Human Resources to ensure staffing fulfills contract mandates and ensure proper benefits management for on-boarding, continued seasonal and off-boarding.
- Working collaboratively with internal departments, and on ongoing communications with Compliance Manager
- Previous experience in contract compliance is an asset.
- Attention to details, while working in a fast-paced environment
- Time management and organization skills
- Excellent communication skills, both written and verbal
- Proficient on Microsoft Office suite
- Flexibility of availability required after regular working hours, on occasion as needed to meet bid submission deadlines in both USA and Canada.
