**Executive Assistant to the Superintendents of Education**

Reporting to the Superintendents of Education, the Executive Assistant is responsible for providing comprehensive, confidential administrative support to the Superintendents of Education.

The Executive Assistant to the Superintendents of Education is a high-profile role within the Board that requires political acumen, discretion, confidentiality and fidelity to the of our Roman Catholic school board.

This permanent, full-time position works twelve (12) months per year and 37.5 hours per week from the Catholic Education Centre in Dublin, Ontario.

**Responsibilities (not limited to)**:

- Acting as recording secretary for meetings of Board committees.. This includes compiling, editing, maintaining, monitoring, coordinating and publishing committee agendas, minutes and summary documents;
- Effectively supporting all functions of the Superintendents of Education Office - in particular scheduling, communication, data gathering, budget, administration and public relations; liaising with the curriculum and program staff who work with and report directly to the Superintendents of Education;
- Monitoring and completion of comprehensive ministry reporting directly related to funding initiatives;
- Coordinating meetings and workshops conducted by the Superintendents of Education. This may include production of documents, creation of presentations and ordering of refreshments;
- Coordinating communications on behalf of the Superintendents of Education Office, including distribution to school administrators and leaders; and
- Liaising with staff, community members, senior team, principals, managers, outside agencies, government officials (provincial and municipal), the Diocese of London (Huron-Perth Deanery), Catholic partners, management associations, vendors and school communities.

**Skills**:

- Demonstrate superior communication skills utilizing advanced communication skills, both oral and written, with a high degree of accuracy and strong attention to detail;
- Exemplify superior organizational skills including fidelity to records-management procedures and electronic file management best-practices;
- Excel in a complex and fast-paced environment where several high-profile projects may occur simultaneously;
- Succeed working independently and in a team environment;
- Promote and facilitate positive relationships with a wide array of stakeholders;
- Prioritize, multitask and manage time effectively;
- Assist at evening and/or weekend Board events; and
- Maintain strict confidentiality.

**QUALIFICATIONS**:

- Minimum two (2) year Community College Diploma in office administration or equivalent;
- Extensive experience working in an office setting;
- Experience supporting the administration of senior management is an asset;
- Experience with event planning is an asset; and
- Experience as an Executive Assistant is an asset.

**COMPENSATION, PROFESSIONAL DEVELOPMENT AND WORKING CONDITIONS**
