The Opportunity
We are looking for a highly organized and driven Administrative Assistant to become a key part of our vibrant Finance team. This can be an excellent opportunity for someone with strong organizational skills who is eager to grow in a fast-paced professional environment.
Reporting to the Chief Financial Officer, the Administrative Assistant performs clerical, administrative and records management functions for the finance department. Additionally, this position will provide administrative assistance to the team as required including, but not limited to, scheduling meetings, and preparing reports. Work is reviewed primarily for accuracy and completeness.
**Responsibilities**:
**Administrative**:
- Act as recording secretary at meetings
- Scanning of receipts and supporting documents
- Scanning of invoices
- Maintain an accurate and up to-date filing system
- Create and Electronic Document Library Finance Process Documentation
- Draft Council Request for Decision
- Update Bylaws and Policies
- Draft letters for signature
- Schedule meetings as directed
- Other financial duties as requested.
- Any other related reports/ work as needed by the management.
Education, Qualifications, and Work Experience
- First year Accounting Business Diploma or Certificate would be considered an asset
- Experience in administrative roles, managing office tasks and supporting team members
- 2-5 years of relevant work experience in administrative, or clerical positions
- Strong familiarity with municipal government operations, policies, and procedures, providing support in government-related tasks.
Knowledge, Skills, and Abilities
- Knowledge and experience with basic accounting principles.
- Superior customer service skills
- Advanced office skills and able to manage multiple priorities.
- High levels of customer service and ability to communicate with the public and answer inquiries and communicate with other City departments.
- Knowledge of Finance software - Great Plains, Diamond
- Fluent in verbal and written English, with strong communication skills for drafting reports, correspondence, and conducting meetings
