**Responsibilities**:

- Ensures regulatory requirements are met by providing administrative support to the University Human Research Ethics Committee (UHREB), the University Animal Ethics Committee (UACC) and various ad-hoc ethics committees. Serves as an ex-officio member of these committees.
- Conducts administrative duties for ethics committees by coordinating and participating in meetings, writing agendas and minutes, distributing items to committee members, following up on tasks arising from proceedings and decisions of the committees and ensuring that issues and requested clarifications are resolved.
- Researches, formulates and advises on research ethics policies by monitoring updates to federal and international ethics guidelines and maintaining familiarity with evolving regulatory requirements and best practices for ethical research.
- Reviews and approves of human ethics protocol renewals and final status reports, and facilitates final signatures on both.
- Maintains the confidentiality of ethics reviews by acting as the liaison between committee members and researchers, dealing with highly confidential and sensitive issues and fostering close collaboration among ethics committees, the Research Office, researchers, faculty and students.
- Facilitates collegiality by editing and revising review comments as needed to accurately and tactfully convey reviewers’ concerns while protecting the dignity of the researcher.
- Prepares, logs, and distributes decision letters, ethics certifications, and animal order notifications.
- Plans, manages, and implements orientation and educational activities for UHREB and UACC members, researchers and Departmental Ethics Committee members.
- Authorizes the withholding or releasing of research funds and ensures that effective processes are in place for administering controlled access to grant funds for funded research projects with ethics certification requirements, including projects with in-principle and emerging ethics certification needs.
- Prepares annual University Human Research Ethics Board and University Animal Care Committee reports to the Board of Regents and provides statistical information and reports on an ad-hoc basis as requested by stakeholders within the University.
- Maintains paper and electronic files documenting the negotiation, review and approval status of human and animal ethics protocols as required for federal and other granting agency audit.
- Maintains and coordinates the review of a revolving catalogue of drafted and approved Standard Operating Procedures for animal care and use in the Vivarium.
- Maintains records of ethics training certification for animal use or human participatory research.
- Creates and maintains resource libraries pertaining to ethics guidelines, templates, and related external policies and procedures for faculty, staff and students.
- Contributes to the annual President’s Report for the Research and Innovation Office, along with the full office annual report.
- Acts as the preliminary point of contact and ongoing liaison for all faculty and students (as well as external applicants) with the UHREB and the UACC.
- Conducts, coordinates, and participates in workshops and information sessions for faculty and students.

- Creates and participates in undergraduate and graduate classroom presentations on human research ethics policy and procedures; introduces students and faculty to the CORE online training modules and monitors their progress as they complete the requirements for certification.
- Informs the University community through all available channels when there are updates to ethics-related policies, procedures or opportunities for training.
- Prepares or coordinates the preparation and submission of institutional annual reports to ensure compliance with funding and regulatory agencies related to ethics (Tri-Council Secretariat, Canadian Council on Animal Care, U.S. Federalwide Assurance Office for Human Research Protection, Controlled Goods, NIH/SAMS), such as the Animal Use Data Report, Confirmations of Ongoing Eligibility.
- Acts as spokesperson for the University ethics committees during federal funding agencies’ Financial Monitoring Review.
- Liaises with the federal regulatory agencies by requesting and following up on policy interpretation; arranging all aspects of site visits, preparing and submitting pre-visit reports, coordinating and participating in the agenda, overseeing the implementation of official recommendations arising from site visits and drafting and submitting official responses to recommendations.
