- As a key member of Program Design, Cancer Screening, the Coordinator will provide coordination, operational, and administrative support to four organized cancer screening programs (ColonCancerCheck, the Ontario Breast Screening Program, the Ontario Cervical Screening Program and the Ontario Lung Screening Program), the Smoking Cessation Program and the Program Design portfolio.The successful applicant should be able to work effectively as a part of a dedicated team and be passionate about supporting initiatives that improve the quality of cancer screening and smoking cessation in Ontario. The Coordinator plays an integral role in supporting the day-to-day work of the programs including support for clinical and scientific leadership. The Coordinator supports the development, planning and implementation of program design and policies and assists in carrying out activities such as environmental scans and responding to inquiries from internal and external stakeholders. The Coordinator will undertake administrative duties such as scheduling meetings for clinical and scientific leadership, managing scheduling and logistics for virtual and in-person meetings with regional clinical leadership, expert panels and advisory committees as well as managing and maintaining program documents, tools and technology. This individual will demonstrate professionalism, tact, diplomacy, excellent judgement and decision-making skills as well as superb attention to detail and organizational skills.Here is what you will be doing:
- Supports the development, planning and implementation of evidence-based policies and design of programs-
- Carries out activities such as development of environmental scans, reviews of guidelines, development of briefing notes and presentation materials, responses to inquiries from internal and external stakeholders-
- Conducts compilation of data into reports, databases, web pages and other information and presentation tools-
- Establishes and maintains positive working relationships with key internal and external partners.-
- Supports program operations including-
- Tracking of inquiries from external stakeholders to ensure responses are completed within service level standards-
- Coordinating processes (e.g., review cycles) and work across program teams such as provincial lead work plans, website updates, core message updates and external requests that involve more than one program-
- Lead processes to obtain accreditation of health care provider education materials as well as processes to issue credits for providers who attend accredited events-
- Coordinating the development and maintenance of project and program operational plans-
- Scheduling meetings for clinical and scientific leadership including supporting agenda planning, prioritization of meetings and managing meeting logistics (e.g., sharing meeting agendas and materials in advance of meetings)-
- Leads the planning and execution of in-person or virtual meetings or events for regional clinical leadership, expert panels and advisory committees, including:- Developing and managing project plans, timelines, and status reports to ensure the meeting/event is completed on time, on budget, and with high quality results-
- Preparing materials, including agenda setting, slide development, briefing notes, etc.-
- Providing support for meeting attendees, including meeting-related communications, tracking attendee responses, completion of participation agreements (if applicable), travel authorizations/expense reports and related inquiries-
