The Administrative Assistant will perform general reception and clerical duties, promote St. Michael’s mission while maintaining a tidy, welcoming reception area. You will oversee tenant administration including move-in/move-out procedures, lease agreements, key management, tenant communication and determination of rental amounts.
**DUTIES AND RESPONSIBILITIES**:
- Oversee move-in and move-out procedures, including inspections, paperwork, issuing/returning keys, and ensuring proper documentation for any damages or cleaning requirements.
- Review lease agreements with tenants, provide building tours, share safety and maintenance procedures, and manage keyless entry systems.
- Offer tenant support by referring them to community organizations and housing providers to help maintain independence or facilitate transitions to appropriate facilities.
- Ensure the completion and collection of annual income verification documentation and participates in determining monthly rental amounts based upon specific tenant circumstances in accordance with the Alberta Housing Act’s Social Housing Accommodation Regulations and St. Michael’s policies.
- Develop and distribute communication notices/memos to tenants.
- Manage tenant parking stalls.
- Support monthly billing and receipts in Yardi.
- Manage the reception area, ensuring it remains tidy, welcoming and safe.
- Support managers with various general clerical, project work and data entry to ensure smooth daily operations.
- Promote St. Michael’s mission and values in every interaction.
**EDUCATION**:
- High school diploma or equivalent.
- Office Administration certificate or diploma preferred.
**Experience**: Required
- 1 - 3 years: Experience as an administrative assistant
- Excellent interpersonal and communication skills, with the ability to work effectively in a team-oriented environment.
- Highly organized and detail focused.
- Expertise in Microsoft Office (Word, Excel, PowerPoint, E-Mail)
Preferred
- Experience with Yardi property management software.
- Proficient in English, Cantonese, Vietnamese and Mandarin languages.
