The mission of the Accreditation and Education Quality Improvement (AEQI) Office is to ensure that the Schools within the Faculty of Medicine meet accreditation standards and engage in continuous educational quality improvement activities by providing expert services in accreditation, cyclical reviews, program evaluation, curriculum design and learner assessment. Reporting to the Associate Director, AEQI, the Educational Enhancement Officer provides project management and high level administrative support to the Health professions’ Assessment and Program evaluation leads. Primary responsibilities are focused on the Health professions’ education portfolios, but may extend to other projects at the Associate Director’s request. Working closely with the academic leads, the Officer supports the development and implementation of best-practices in learner assessment and program evaluation. These responsibilities encompass contributing to the design and development of program evaluation plans and assessment tools.

Role and responsibilities:
1. Develop and maintain extensive knowledge of accreditation standards related to educational standards.

a) Act as resource person, liaison and advisor by interpreting accreditation-related policies, processes and procedures, responding to inquiries and providing advice to academic leadership, faculty and staff;

b) Participates in the collection and organization of complex, detailed information required for review by relevant accreditation and program evaluation committee(s);

c) Collaborates with the Accreditation and QI team. Conducts research and analysis of accreditation requirements to support decision-making related to educational accreditation standards.

d) Analyze and establish priorities for education quality improvement activities based on accreditation outcomes.

e) Advise Program Directors, Chairs, and other faculty leaders on educational accreditation standards requirements.

f) Manages implementation of action plans at the program and institution level to address gaps identified in accreditation reviews related to educational standards.

2. Analyze proposed projects and makes recommendations to proceed or decline projects to the Associate Director. Analyze and establish the priorities among educational projects on an on-going basis.

a) Investigate the project scope, timeline and required resources.

b) Assess the relevance of the project to goals of the mandate of the office.

c) Ensure requests align with education accreditation standards d) Assess the potential value of the proposed outcomes vs impacts on available resources and concurrent projects.

e) Present findings and make recommendations to the Associate Director regarding i) Proceeding with the project or not, and ii) The projects priority level via a vis other projects

f) Manage changing priorities on an ongoing basis. Communicate any timeline impacts to all involved.

3. Manage ongoing educational projects follow up and progress reports on current projects.

a) Receive requests from AEQI clients,

b) Research and evaluate required resources including impacts on systems and other stakeholders.

c) Establish timelines and deadlines reflecting priorities, negotiates deliverable due dates with collaborators.

d) Develop the project plan, including roles and responsibilities, and communicate to academic leads and collaborators.

e) Maintain continuous communication to establish strong relationships with clients (e.g., program directors) and other educational units (e.g., medical education leadership) to ensure that project goals, deadlines and deliverables are achieved.

f) Take responsibility for project deadlines, follow up and escalate as needed. g) Record project outline in project management tool h) Ensure final product is signed off by lead and delivered to client(s).

i) Report to Director or Program Directors on the final findings

4. Create and maintain project management tracking tool for all educational project timelines.

a) Determine project management tracking and reporting needs

b) Collaborate with AEQI team members to review and assess software options.

c) Set up project management tracking tool to capture project progress from the initial request, definition of scope, development, proposal, testing, validation and review.

d) Develop monthly and quarterly status reports on assessment projects and next steps.

5. Contribute to the creation of Health professions education tools.

a) Conduct research and analysis of best practices for the creation of medical education assessment and curricular tools.

b) Advise academic lead on changes in best practices.

c) Monitor assessment tool and curricular activities to ensure consistency and adoption of best practices.

d) Write, edit and formats documents and tools in collaboration with the academic leads.
