**Jr. Project Coordinator Job Description**
- Requesting and filing out project specific start up documents
- Submitting start up documents to clients
- Ordering project specific samples from vendors
- Cross checking all materials ensuring they are the correct spec to be submitted to the client in a timely manner
- Creating sample transmittals
- Checking lead times of materials to confirm they can be received in time according to the project schedule
- Ensuring clients are made aware of lead times and any materials that require alternates
- Assisting in providing alternates when necessary
- Requesting pricing from vendors for projects prior to award
- Handing off client approvals to PMs with all info necessary for order sheets to be created
- Double checking PM order sheets to ensure all details are being captured accurately
- Submitting order sheets to the company’s purchaser, along with all required information (client approvals, pricing, sample transmittals, project schedule)
- Filling in the blanks for the Tile/Flooring/Concrete Division Managers when necessary
- Communicating with PM’s clients daily, ensuring they are kept in the loop with all administrative progression
- Keeping up to date with the industries ever changing standards (LEED, EPD, HPD)
- Confirming with PM’s their invoices have been provided to clients before deadlines
- Meeting with PM’s weekly to ensure the coordinator and PM are on the same page to ensure projects are successful
- Keeping all project folders (hard copy and computer folders) up to date and organized
- Assisting in managing multiple projects for multiple PMs (many times, more than 15 projects at a time)
- Managing the office’s library (keeping up to date with organization and removing folders/samples of products that are no longer available)
- Ordering back up samples of wall base, transitions, colour tabs etc. to stock in the library so we can send samples off to clients quick when in a pinch
- Coordinating with the company’s purchaser when/what office supplies need to be ordered
- All other tasks that can be reasonably assumed to be the responsibility of the Project Coordinator

**Requirements**:

- Proficiency in Microsoft Outlook, Excel, and Word
- Fluency in English
- Strong written and oral communication skills
- Organizational and time management skills
- Ability to prioritize tasks in order of importance/urgency
- Effective problem-solving skills
- Strong interpersonal skills
- Ability to manage a large workload, in an efficient and effective manner
- University or College education in a related field of study is an asset. Experience in a related position is an asset
- Experience using QuickBooks is an asset.

**Job Types**: Full-time, Permanent

Pay: $50,000.00-$55,000.00 per year
