Reporting to the Director, Co-operative Education and Experiential Learning, the Database Assistant - Experiential Learning is responsible for providing accurate, timely, professional, and ongoing administrative support to the Centre for Experiential Learning. To support co-operative education work terms and student placements, the incumbent will prepare and ensure the completion of required legal waives, releases, and declarations.
This position deals with students, staff, and employers and requires the incumbent to use tact and diplomacy in carrying out daily activities. The duties associated with this position will involve exposure to confidential records and information.
**What you’ll be doing**:
**Student & Employer Support**
- Work within the Experiential Learning Management System database to review, enter, and edit data related to student and employer placements/jobs
- Schedule and confirm interviews for students and employer
**Legal Agreements & Waivers**
- ** **Prepare and build web forms for student and employer waivers, releases, and declarations
- Work collaboratively with General Counsel to route, store, track, and monitor legal agreements
- Liaise with employers to complete or amend legal agreements (affiliation agreements/MOU)
**Database Support**
- ** **Maintain confidentiality of student and employer information and documentation
- Monitor and input any information collected from external forms or external databases into the experiential learning management system/database
- Maintain supporting program databases, as requested by management
- Work collaboratively with Field Placement and Co-op Specialists to support student and employer functions
**Other Duties as Assigned**
- ** **Support additional projects within the Centre for Experiential Learning
- Update current webpages and creating new web content
**What you’ll bring to the role**:
- ** **A two-year diploma in such disciplines as Business, Office Administration, Computer Science, Data Analysis or related field at the point of hire is required for this position.
- 3 years of experience with databases (Access, SQL & Orbis Communications), data processing/tracking, and reporting tools.
- Able to prioritize and execute tasks under tight deadlines.
- Experience working in a collaborative team-oriented environment.
- Knowledge of experiential learning activities within post-secondary.
- Experience with data collection and data reporting (i.e. - utilizing multiple large databases including student information systems, i.e. - FAST, Orbis, Banner, SQL).
- Strong written and verbal communication skills.
- Strong interpersonal skills.
- Excellent organizational, monitoring, and assessment skills.
- Proficient in Microsoft Office and web editing.
- Ability to work in both a team environment and be self-directed with mínimal supervision.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
