Reporting to the Vice President, Human Resources, the incumbent is responsible for providing leadership, guidance and direction while overseeing the daily operations of the Office of the Vice President. As the main point of contact for the office, the incumbent must demonstrate confidentiality, trust and diplomacy in all interactions.

The incumbent must have the ability to act effectively to requests regarding the activities and functional operations of both the Human Resources and to the Vice President’s offices responding in a timely and appropriate manner. This includes the performance of administrative liaison, analytical and representational functions on behalf of and in support of the Vice President.

The incumbent is responsible for planning and carrying out administrative activities including preparing correspondence, memos, minutes, and reports frequently of a confidential, strategic and/or specialized nature and must be able to prioritize and multitask a variety of activities. The incumbent is responsible to manage the calendar of the Vice President, Human Resources, including coordinating/scheduling meetings with both internal and external stakeholders.

The incumbent must have total familiarity with the services of Human Resources and the College and is able to dialogue effectively with a wide variety of clients and employees, as well as with representatives from the College Employer Council, other colleges, community groups, and Ministry officials.

The incumbent is the lead and is responsible for the planning, development, management and assessment of College’s employee events (employee awards and Long Service/Retiree event). These events reinforce the College’s commitment to their employees. The incumbent is to work collaboratively with other areas of the College (i.e. internal and external vendors) to plan, organize, manage and assess all aspects of the employee events. This includes logistics, resource planning and allocation and execution of events. The incumbent also coordinates the President’s Star recognition program.

The incumbent is responsible for the oversight of the employee corporate records. Provides supervision and leadership to the Records and Archiving Assistant to ensure the maintenance and accuracy of the College’s employee records.

The incumbent will also undertake (or lead) special projects and assignments upon the request of the Vice President, as it pertains to the deliverables of this position and the area.

Required Qualifications:

- Minimum of a two (2) year college diploma Executive Office Administration or a related relevant field of study;- Seven (7) years of related on the job progressive experience administering in an executive office environment with at least one (1) year of event coordination is required;- Supervisory experience is required coupled with an understanding of corporate record keeping;-
- Exceptional organizational, planning and analytical and intuitive skills to analyze complex client situations and deal with confidential matters, while demonstrating a balance of compassion and good judgment;- Exceptional scheduling and time management skills and with an ability to prioritize and manage several concurrent obligations/projects;- Excellent interpersonal, client service and written and verbal communication skills;- Must possess above-average conflict resolution skills in order to deal with day-to-day problems and/or complaints on behalf of the Vice-President;- Proven ability to analyze, follow up and make independent decisions;- Ability to handle pressure to meet deadlines and general knowledge of budget monitoring.
