Mitacs has an immediate opening for an Administrative Coordinator. This position is responsible for coordinating all aspects in the administration of research grant awards, as well as providing support on project proposals and preparation of required reports.

**KEY RESPONSIBILITIES**

Administration
- Administer and act as the file manager for research grant files
- Communicate review results with the applicants
- Ensure timely release of funds to universities
- Provide guidance and assistance to applicants on proposal submissions and any inquiries regarding the relevant programs
- Draft various types of correspondences to applicants/university administration at various stages of their internship
- Data entry, electronic filing, and data archiving
- Communicate effectively with various university research administrations, professors, graduate students, and partner organizations
- Work closely with Finance Department, Business Development team, Programs Department, and Research team to keep them informed of procedural changes, and offer solutions to possible problems
- Update Mitacs policies and guidelines as required
- Any other duties assigned

Reporting and Compliance:

- Ensure compliance with funding agreements and program guides
- Assist in coordination and data collection for various relevant regional reports to funding agencies
- Responsible for timely and accurate reporting
- Work closely with Finance Department to ensure appropriate funding allocation applied and ensure consistency of government claims/reports to financial statements
- Review contracts, research agreements, and proposals to ensure compliance with policies and procedures for the specific program

REQUIRED SKILLS AND EXPERIENCE
- Fluent in both written and spoken French and English with strong communication skills (written and oral). Fluent in both written and spoken French and English is required in this role as you will interact with colleagues, clients and stakeholders located across Canada
- Very strong multi-tasking skills
- Demonstrated administrative background
- Work experience in academic setting and account management is an asset
- Attention to detail and accuracy are essential
- Good working knowledge of Microsoft Office Suite (i.e. Microsoft Word, Excel, PowerPoint)
- Experience with databases and SharePoint is an asset
- Self-motivated, able to work in a team environment and balance the needs of a number of individuals
