We are seeking a Group Administration Supervisor to join our Coughlin team in Ottawa.
The Group Administration Supervisor provides leadership and administrative services to the Group Administration Department in such a way as to enable the smooth operation and administration of the
Single
- and Multi
- Employer Plans.
**The Group Administration Supervisor will**:

- Coordinating requests from other departments (such as IT) for system enhancements/changes/projects.
- Coordinating and/or performing year-end procedures, special projects, and internal controls.
- Updating and enhancing training programs and system requirements.
- Managing new plans and the set up for new groups.
- Ensuring compliance to current procedures, to applicable legislation, to plan guidelines, to administrative procedures, and to any changes introduced in meetings.
- Adding, changing, and deleting coverage in database systems.
- Preparing/verifying/printing reports, correspondence, and cards as required.
- Verifying all work performed by subordinates.
- Verifying accurate completion of system enhancements and adjustments, such as changes to the letter template system.
- Verifying that audit procedures are in place, and the accurate completion of required corrections as a result of internal audit.
- Calculating and correcting discrepancies located during bank reconciliation.
- Any other financial reconciliations or taxation reports as required by the managers or client.
- Responsible for internal eligibility, premium, tax, and compliance audits, and assisting with external audits.
- Providing general guidance and support to staff while fostering good morale and conflict resolution.
- Approving employee timesheets using the company's Time Information Management System.
- Co-ordinating and scheduling the activities of the department, including assigning work based on schedules, priorities, and job requirements, as well as establishing methods to meet work schedules and monitoring work progress and quality by conducting periodic checks with employees.
- Resolving work problems and recommending measures to improve productivity and quality.
- Assisting the team as required with general administration and following up with any issues that arise.
- Enhancing communication between internal parties

**To be successful as a Group Administration Supervisor **with Coughlin & Associates, you will need**:

- Strong leadership abilities, including coordinating workflow, training subordinates, motivating a team, motivating individual performance, and assisting in performance evaluations.
- The demonstrated ability to successfully manage multi-functional activities and to function competently in a team environment.
- Sound knowledge of Microsoft Office, accounting software, and standard office administration procedures.
- Excellent grammatical, spelling, and communication skills.
- Superior data entry skills and strong mathematical and reconciliation skills.
- Practical knowledge of accounting/bookkeeping theories and practices and banking procedures.
- The ability to maintain good public relations, both within and outside the organization.
