The mission of the University of Winnipeg Library is to provide and organize the educational materials necessary to effectively support teaching, research, and other programs offered at The University of Winnipeg. This position exists within the Circulation department of the Access Services unit, which is responsible for end-user resource delivery and customer service.

The Circulation Supervisor will manage the Circulation Department’s staff and workflows, ensuring the highest quality public service is provided at the Circulation Desk.

**Responsibilities**:

- Supervises, manages, and directs staff and workflow in the Circulation Department.
- Schedules assignments, coordinates coverage for holidays/sick leaves.
- Trains, allocates tasks, and assists staff with problems.
- Coordinates with other departments on completing and allocating duties for shared projects.
- Advises Administrative Assistant to the Dean of Library or the Operational Support Assistant of updates to payroll.
- Revises work practices pertaining to the workflow of the Circulation Department.
- Prepares hiring documentation, interviews and hires Circulation staff and student assistants, prepares annual performance reviews and position descriptions.
- Develops, maintains, and directs the creation of training materials and processes.
- Deals with disciplinary matters and follows procedures as indicated in the AESES Collective Agreement.
- Updates and maintains a Circulation procedure manual.
- Reports to Head of Access Services regarding service concerns and policy adjustments.
- Contacts external borrowing institutions with respect to special requirements/privileges.
- Compiles, maintains, and shares regular statistics relating to the operation of the Circulation Department.
- Monitors library income accounts and communicates with the Head of Access Services, Dean of the Library, Library Administrative Assistant, and the University’s Financial Services on financial issues and reporting.
- Checks out and checks in circulating resources (including Reserves material) to authorized patrons and renews materials for library users.
- Creates, updates, revises, and renews Library patron records.
- Provides instruction to Library patrons on how to use the Library website to access Library accounts, to renew Library materials, and access Reserves information.
- Collects fines and fees for overdue, lost, and damaged items.
- Removes holds once outstanding fines and materials are settled.
- Maintains good public relations with Library patrons and answers general, directional, and informational questions and refers Library patrons to appropriate service points in the Library and on-campus.
- Assists patrons in the location and use of information resources in print and electronic format within and external to the Library.
- Deals directly with patrons concerning circulation issues, resolves issues and explains Library policies, and refers complaints and broader administrative concerns to the Head of Access Services.
- Enforces library and university policies with difficult patrons, enacting suspensions, engaging Security, or escalating to the Head of Access Services as necessary.
- Carries out Library opening and/or closing procedures, records transactions, reconciles department finances, and prepares deposits.
- Provides ready reference support when the Reference Desk is closed or busy.
- Directs patrons to Subject Librarians or other specialized resources.
- Updates and maintains circulation, location, and collections policies and settings in Integrated Library System (ILS).
- Works with Circulation staff and Partner Libraries to ensure appropriate standards and practices are applied and up-to-date within ILS.
- Coordinates with the Library Systems Manager and Library Systems staff to ensure that the ILS and adjunct systems are up-to-date and performing optimally.
- Attends appropriate training workshops for the Integrated Library System and other Library systems.
- Attends meetings and takes part in Library Teams and Committees.

**Qualifications**:

- High School Completion or acceptable equivalent.
- Undergraduate degree.
- 2-year diploma from a recognized Library technician’s program (or equivalent) is an asset.
- Five years of directly related Library experience, using procedures and systems appropriate to the area.
- Experience supervising a team of staff in a unionized environment;
- Experience with public service standards and procedures;
- Experience with integrated library system software and Microsoft Office.
- Familiarity with Outlook, Word, Excel, and/or OCLC’s WMS would be an asset.
- Must have considerable manual dexterity;
- Ability to supervise and coordinate the work of others;
- Ability to multitask and manage time effectively;
- Ability to understand and follow oral and written instructions;
- Ability to work independently and cooperatively with others;
- Ability to communicate effectively with staff and faculty.
