The Spa Coordinator position is ultimately responsible for supporting the Spa Manager to ensure that all guests’ needs are met. The role of a Spa Coordinator is to assist in ensuring all spa and company policies and procedures are adhered to and the Spa runs smoothly and flawlessly. The Spa Coordinator is expected to assist in training, developing and supporting the Spa associates when required.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**:

- Prepare accurate Microsoft Word documents in various projects such as policies and procedures, procedure manuals of treatments, preparing meeting minutes etc.
- Provide support and training with supervision of Spa personnel to ensure that established procedures are being followed.
- Assist in maintaining spa inventory, by way of accurate recording of all incoming inventory and monthly inventory counts.
- Assist in the preparation of purchase orders while maintaining the purchase order log and ensuring budget compliance.
- Scheduling staff according to business volumes / needs.
- Assist in the retail presentations and displays.
- Ensure the retail items are priced accurately and that the computer prices match to the display items.
- Ability to effectively train new associates.
- Perform receptionist duties, including using a multi-line telephone system.
- Understand and use all forms of methods of payment such as credit, debit, cash, foreign currency, room charges, etc.
- Manage monthly / weekly / daily inventory control.
- Ability to problem solve with guest concerns or complaints.
- Supervise and assist in resolving any possible associate’s questions or concerns.
- Assist with serving at afternoon tea when required.
- Assist in providing support with administrative and financial duties.
- Assist in preparing and presenting corrective counseling documents when necessary.
- Provide a quarterly record of the retail commission report.
- Effectively communicate with the Spa Manager regarding any business matters in the absence of the Spa Manager.
- Assist in providing accurate contractor payroll invoicing to the Accounting Department.
- Assist in maintaining and organizing any wedding and special occasion hair and make-up bookings.
- Some stress resulting from daily guest interactions (internal and external), budgetary, and time constraints.
- Perform any and all other job related tasks assigned by management.

**EDUCATION, EXPERIENCE and SKILL**:

- Completion of grade 12 education.
- University/college degree/diploma from a recognized hospitality/tourism post-secondary school an asset.
- An equivalent combination of education and experience will be considered.
- A hospitality course from a recognized institution is preferred.
- Minimum one year receptionist experience.
- Minimum one year previous supervisory experience.
- Previous experience working in a busy spa environment is an asset.
- Serving it Right Certification required.
- Excellent customer service skills, including proven problem solving skills.
- Strong leadership skills.
- Strong communication skills in English, oral and written.
- Ability to speak multiple languages is an asset.
- Ability to calculate figures and amounts such as discounts, interest, commissions, etc.
- Excellent organizational skills.
- Ability to prioritize.
- OFA III certification is an asset.
- Ability to up-sell products and service.
- Excellent communication and interpersonal skills with the Spa Manager, other departments and associates members.
- Ability to take on the Spa Manager role in the absence of the Spa Manager.
- Being multi-lingual is an asset.
- Flexible to a changing schedule.

**Job Types**: Full-time, Permanent

**Salary**: $18.21-$22.76 per hour
