We are looking to fill a permanent daytime position (8:30am to 5pm, Monday to Friday) for an Administrative Agent, Training Support.
Reporting to the National Director of Education, you will be responsible for the administrative and logístical support of the various technical training activities. In addition, you will be responsible for making transportation and accommodation reservations for the training team and for managers on travel status according to established rules. You will also be responsible for the logistics surrounding the aesthetic seminars we organize.
More specifically, your main responsibilities will be to:
- Make travel, accommodation and other reservations for the trainers;
- Computerize the training calendar and reserve training rooms, as needed;
- Proceed with the registration of interested participants and confirm the registration before the training;
- Coordinate the administrative logistics surrounding the company's registration and participation in aesthetic conferences;
- Prepare material requisitions for trainings and/or conventions and have them sent to the Distribution Center according to established deadlines;
- Contact carriers to organize the logistics of moving materials and follow up to ensure that everything is received before the start of the training and/or conference;
- Update the computer system following each training session and send the certificates of completion to each participant;
- Replace the receptionist during her absence (breaks, vacations, etc.);
- Perform any other related duties as requested by the immediate supervisor.
**Job Requirements**:
- High School Diploma (HSD);
- Minimum of one to three (1-3) years of experience as an office clerk;
- Proficiency in MS Office environment;
- Ability to coordinate events and make transportation and accommodation reservations;
- Be perfectly bilingual (French/English);
- Be organized, rigorous and dynamic.
