The Crusaders Rugby Club (the ‘Club’) celebrated its 56th year of operation in 2023-2024 and is one of the most dynamic and vibrant rugby clubs in Canada with 4 fields on 26 acres in Oakville and approximately 1250 active participants of all ages and skill levels.

To build a broadly inclusive, successful and sustainable community-based rugby club that develops all its members and participants to their highest potential in a safe and supportive environment, encouraging social engagement, fun, enjoyment, discipline, respect, integrity and honour, on and off the pitch. Our programming/activities include:

- Adult recreational rugby
- Competitive rugby
- Summer camps
- Offseason programs
- Skills programs
- Tournaments
- Social events

The Crusaders Rugby Club is a not-for-profit organization.

**Position Overview**

This position can be a part-time or full-time role, depending on the applicant and circumstances.

Reporting to the Board of Directors, the Operations Manager is responsible for:

- the ongoing operations and long term success and sustainability of the Crusaders Rugby Club.
- staff performance and their delivery of general administration & operational duties. He/she is expected to provide the support necessary to ensure their success in delivering member satisfaction.
- working with league directors/conveners to deliver Club programs.
- collaborating with Club Committees developing and executing multi-year strategic plans

While a year-round position, the seasonal nature of the business requires the Operations Manager to work a flexible and variable schedule. The core of the Club’s season typically runs from mid-April to the end of October and where workload and expected hours may vary.

**Duties**

Effectively manage Club finances, including but not limited to:

- Develop a sales plan identifying revenue opportunities from the existing membership and alternative revenue streams from events and new membership opportunities.
- Develop a marketing plan identifying revenue opportunities from existing advertisers and alternative revenue streams from new advertising and sponsorship opportunities.
- Operate, organize and administer the Club’s summer camps, off-season programming, recreational touch rugby programs and participate in the development of new programming.
- Operate and administer club bar and online shop.
- Develop revenue sources utilizing the existing facility and rugby operations.
- Identify new and engage new sponsors and operate a sponsors relations program.
- Regularly review expenditures and service contracts to look for cost savings opportunities.
- Represent the Crusaders Rugby Club by participating in community organizations and various rugby associations, including Rugby Ontario, the Toronto Rugby Union, the Niagara Rugby Union, Sport Oakville and Rugby Canada.
- Support the Board by providing timely & relevant information enabling them to perform due diligence and make informed decisions.
- Support Rugby Directors & Coaches with their responsibilities to ensure divisions run smoothly.
- Manage the Club’s technology infrastructure (network, website, POS systems, payment systems, Shopify site).
- Ensure Club facilities, equipment and grounds are well maintained.
- Support online shop and bar operations, pricing, order management & inventory management.

**Member Relations**
- Develop member satisfaction monitoring systems and ensure issues are addressed quickly.
- Develop self-serve processes to quickly address member enquiries.
- Enhance member integration programs.

**Employee Management**
- Develop, manage and maintain a well-qualified team of employees.
- Ensure there are appropriate policies and standards for each employee which will enhance the member experience.
- Conduct interim/annual employee goal setting and performance reviews. As part of the annual process provide salary recommendations for Board consideration
- Participate in personal goal setting and performance reviews with the Board

**Club Financial Management**

The Operations Manager’s duties include financial and budgetary responsibilities, including but not limited to:
The financial success of the Club, as defined by the annual budget & Board of Directors.

Supporting the Treasurer with:

- the review and maintenance of accurate accounting records.
- the submission of all financial records for a yearly audit.
- Along with the Treasurer, actively participate in the development of annual operational budgets to be presented and approved by the Board of Directors.
- Management of the financials
- to achieve the goals as set out in the approved budget
- bring items to the Board’s attention which may jeopardize the budget
