Temporary Office Assistant

**Main Duties and Responsibilities**:
- Verify production capacity and confirm availability of delivery dates.
- Input work orders into production schedule using Excel.
- Co-ordinate outside parts for purchasing.
- File work orders.
- Maintain inventory and purchasing of high value, long lead time items, and outside parts production items.
- Work collaboratively with all departments viz. Management, Sales, Accounting, Production, Engineering, and Shop Floor.
- Purchasing of quick delivery and general items used in production and office.
- Prepare customer invoices, packing slips and serial tags.
- Select and arrange transportation carriers.
- Prepare shipping documentation such as Bill of Lading, commercial invoices, CUSMA forms, shipping labels.
- Direct general mailbox phone inquiries.
- Assist in visitor check-in procedures.
- Maintain filing system and documentation.
- Any other duties as required by management from time to time.
**Essential Qualifications**:
- University Degree or completion of Post-Secondary College studies.
- 1-3 years experience in purchasing, shipping, and office administration.
- Computer skills including MS Office (Word, Excel, Outlook).
- Ability to plan, prioritize and execute workloads.
- Follow directions and work without supervision when necessary.
- Excellent communication skills, both verbal and written.
- Ability to be flexible and handle several tasks/projects/ideas at the same time.
- Problem solver and a team player.
- Capable of working in a fast paced environment.
**Job Type**: Fixed term contract
Contract length: 8 weeks
**Salary**: $50,000.00-$60,000.00 per year
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
