**About the Opportunity**
Taking the lead from the Manager, Office Services, the Receptionist is the first point of contact that greets and welcomes visitors entering rennie’s offices. The role focuses on facilitating the volume of people flowing through the business and ensures that administrative responsibilities are completed on-brand, accurately, and in a timely manner. The Receptionist prides themselves in being meticulously detailed, a flexible multi-tasker, and thrives in a fast-paced and fun environment.
**Duties and Responsibilities**Reception Services**- Acts as a friendly and warm first point of contact that greets and welcomes visitors, guiding them to the appropriate meeting space- Answers and directs phone calls, screens solicitors/cold sales calls; provides information and answers questions as primary liaison between the company, staff, and office building management- Receives and sorts mail, deliveries, and couriers daily- Receives client deposits and issues receipts- Organizes and distribute keys, documents, and mail between rennie advisors and external realtors- Prepares documents/packages and arranges for courier pick up**Office Services**- Maintains adequate inventory of collateral, office, and kitchen supplies for home office and West 1st rspace-
- Provides daily support for office services, including maintaining cleanliness of the kitchen-
- Manages and maintains inventory of personal protective equipment-
- Communicates swiftly and effectively any operational, safety, building, and marketing concerns within the office environment to appropriate personnel-
- Maintains security by following procedures and controlling access-
- Schedules and manages shared office calendars and boardroom bookings-
- Coordinates repair and maintenance of office equipment-
- Generates/distributes/communicates internal memos/announcements via office communication platforms-
- Maintains office directories and seating plans-
- Provides administrative support and set-up for events/meetings when required- Performs other related duties as assigned by the Leadership; Management may assign or reassign duties and responsibilities to this job at any time due to reasonable accommodation or other reasons
**Education and Experience**- Minimum of 1-2 years of related experience in reception and/or office administration role- An undergraduate degree from a college or university, or equivalent combination of education and experience
**Desired Knowledge, Skills and Abilities**- Collaborative, creative, flexible, and innovative team player team player with an ability to work effectively with peers, senior leaders, and key stakeholders- Exceptional communication and presentation skills, always maintains composure and an action-oriented attitude- Excellent problem-solving, and analytical skills with good judgment to make timely and sound decisions- Strong administrative and organizational skills with the ability to manage priorities and workflow- Proficient in Microsoft Office, Google Suite and online ordering systems- Comfortable handling confidential information- Strong knowledge of local real estate market considered an asset
**Working Conditions/Physical Demands**- Our home office is located just outside of Granville Island in Kitsilano.- This role is based in office, 4 hours a day, 9 AM - 1 PM
